Performing Issue Remediation Activities 

Objective

After completing this lesson, you will be able to perform issue remediation activities.

Introduction

Facts about the tasks:

  • A task represents a single activity that has to be done.
  • A task list is a collection of tasks that have to be processed.
  • A template is a blueprint that can be reused in either the investigation or remediation phases of alert processing.
  • Task list templates and task templates are created with the Manage Task List Templates app by a manager.
  • Task list templates can then be mapped to a detection strategy (for the investigation phase) or to a detection object type (for the remediation phase) in the Assign Task List Template app, also by a manager.
  • Tasks are initiated in the Manage Alerts app by the investigator
  • Tasks are processed in the Fiori Inbox or My Compliance Tasks app by the responsible person

Scenarios

The following scenarios are supported:

  • Execution of activities during the investigation (investigation phase)
  • Execution of activities after the investigation has been completed (remediation phase)

In the investigation phase the tasks define activities to be performed during the investigation.

The alert can be closed only after all assigned tasks have been completed.

In the remediation phase the tasks define activities to be performed after the investigation has been completed to perform issue remediation.

The tasks are created after the alert has been completed and has to be processed to ensure the issue remediation activities have been performed completely.

Process tasks

The following diagram illustrates the task processing in SAP BIS solution with assignment to Fiori Apps to be used in process steps:

Task lists assigned to the alert are displayed on the tab Tasks in the alert details in the Manage Alerts app.

This section shows an overview of all task lists assigned to the alert with the respective task list template and completion status.

To start processing the tasks click on the link in the Task List column, which navigates you to the task list details page.

On this page you can review the tasks created from the template and manually add new tasks if needed by clicking on the "Create Task" button.

Next you can directly process the tasks or send the task to a processor (using the "Send To" button or to a team using the "Send" button).

If you would like to send the task to a team, it must be configured in the Manage User Groups Tasks app.

Submitted tasks appear in the My Inbox app of the task processors and must processed by clicking on "Approve" or "Reject" button.

Optionally processor can request additional information using the "Clarification required" button.

Also, additional information about the task can be displayed using the "Open Task" button.

After the processing of task has been completed, the completion must be confirmed by the investigator.

To display tasks awaiting confirmation and other outstanding activities use the Compliance Results Overview app

Display processed tasks awaiting confirmation or other outstanding activities by clicking on the respective tile and click on the specific tasks to display it and confirm its completion by clicking on the "Confirm" button.

In case the required activities have not been performed or performed only partially, the task can be reopened using the "Reopen" button and send for processing again.

Hint

Activities history for the task can be displayed using the "Show Timeline" button.

After all tasks associated to the task lists have been completed, the status of task list is automatically set to completed.

Manage task templates

The following diagram illustrates the task template management process in SAP BIS solution with assignment to Fiori Apps to be used in process steps:

Task list and task templates are to be created in the Manage Task List Templates App.

Task templates need to be assigned to a task list template by selecting the task list template and using the "Create → Task Template" button.

Existing task templates can be reassigned using the "Assign Task Template" button.

Note

For each task the priority and due period must be specified.

Task template must be mapped to detection object to ensure that the activities described in the task template can only be assigned to alerts, generated for the specified object (i.e. activities for an invoice are only applicable to alerts, generated for invoices and not to alerts, generated for master data records).

To define fields and navigation targets which are to be attached to the tasks use the "Edit Fields" and "Edit Navigation Targets" buttons.

Note

Note, that only fields and navigation targets maintained for the specified detection object in the customizing can be added to the template.

Main language must be selected when creating a task list and task template and the name and description are to be provided in this language.

The name and description for the task will be displayed in this language for the processor even if the logon language is different.

To maintain translation in different languages, use the Update Template Translations app.

Hint

In this app you can download the list of existing templates in MS Excel format, add translated text to the templates using respective language key and upload the file to the system.

After the task list templates have been configured, they must be assigned to a detection strategy or a detection type depending on the scenario using the "Assign Task List Templates" app.

For investigation scenario the task list template must be assigned to a detection strategy under the "Assignments for Investigation" list.

Hint

You need to provide the detection strategy and the task list template ID, optionally template determination value can be specified (the attribute for template determination must be defined in customizing).

For the remediation scenario the task list template must be assigned to a detection object under the "Assignments for Remediation" list.

You need to provide the detection object type, finding (for example confirmed or false positive), ranking order (enter the order of the derivation rules; use a lower rank for a specific combination of detection object type/finding/close reason, and use a higher ranking for more generic combinations) and the task list template ID

Hint

Optionally close reason and template determination value can be specified (the attribute for template determination must be defined in customizing).

Note

Please note, that task lists are added to new alerts, however existing alerts, generated before the assignments have been configured, may not be updated.
