Adding and Managing Attendees

Objective

After completing this lesson, you will be able to add attendees to an expense, create new attendees, and remove attendees from an expense in the SAP Concur mobile app.

Introduction to Attendees

When submitting business meals, entertainment, or other expenses that involve multiple people, Concur Expense requires you to identify who was present - both to satisfy internal policy and to meet tax and audit compliance requirements. The SAP Concur mobile app lets you add attendees directly to an expense entry, capturing names, titles, and company affiliations for each person at the event.

Attendees can be selected from your existing contacts or previously used attendee records, or added manually when someone is new to the system. For employee attendees, records are often pre-populated from your organization's directory, reducing the need for manual entry.

Once attached to an expense, the attendee list travels with the entry through the approval and audit process, providing approvers and finance teams with the full context needed to evaluate the business purpose and appropriateness of the spend.

Add Attendees to Expenses

Review the following steps to learn how to add attendees to an expense entry in the SAP Concur mobile app.

Steps

  1. On the Expenses screen of the open expense report, tap the expense that needs attendees added.

  2. On the Expense screen, tap Attendees*.

  3. On the Attendees screen, tap the Plus sign (+) to add your first attendee.

  4. On the Add Attendees screen, you can select a saved attendee or create a new attendee. In this example, we’ll add a saved attendee to the expense. Search for the attendee’s name and then tap the Plus sign (+) next to the desired attendee.

  5. The selected attendee appears towards the top of the screen. Select Add.

  6. The attendee appears on the Attendees screen.

Create New Attendees

Review the following steps to learn how to create new attendees in the SAP Concur mobile app.

Steps

  1. On the Expenses screen of the open expense report, tap the expense that needs attendees added.

  3. On the Attendees screen, tap the Plus sign (+) to add your first attendee.

  4. On the Add Attendees screen, you can select a saved attendee or create a new attendee. In this example, we’ll create a new attendee. To begin, enter the new attendee’s name in Search to add attendees and then tap Create New Attendee.

  5. Enter the required fields and tap Create.

  6. The newly created attendee appears on the Attendees screen.

Edit Attendees

  3. On the Attendees screen, tap the desired attendee.

  4. Tap Edit.

  5. Make the desired changes to the attendee. In this example, we’ll update the Attendee Title. When you’re done, tap Save.

  6. The updated attendee details display on the Attendees screen.

Remove Attendees

Review the following steps to learn how to remove attendees in the SAP Concur mobile app.

  1. On the Expenses screen of the open expense report, tap the expense that needs attendees removed.

  3. To remove an attendee, swipe left on the attendee and tap Delete.

  4. The attendee is removed from the Attendees screen.

  • Add attendees to expenses to satisfy internal policy and meet tax and audit requirements.
