Reviewing the Options

Objective

After completing this lesson, you will be able to explain the available options when using Request Assistant in the Professional Edition of Concur Request.

Key Features

The process of using Request Assistant is very simple and straightforward. The tool gives the user a number of options to help ensure the user's estimate is accurate based on the travel options they require.

High-Level Options

For policies that use this feature, the request header form will automatically include the Start Date, End Date, Departure City, and Main Destination City fields. This allows users to indicate their travel dates along with where they are traveling to and from, so the system can create its estimates.

Additional Options

Two additional options automatically appear on the request header form:

  • Users can turn the feature off for each request if needed.
  • Users can determine which segments they want estimates for. For example, they may be able to choose from Flight or Train, Car Rental, Hotel, and Taxi.

Note

The Flight and Train options are mutually exclusive. Users can select Flight or Train, but not both. If the user needs both segment types for their trip, they can manually add the other segment later.

Adjustments

Once the initial estimate is created, users can make adjustments in order to make it more accurate for their needs.

  • For the Flight and Train options, users can specify the cabin class and number of connections they prefer.
  • For the Car Rental option, users can specify the preferred car size.
  • For the Hotel option, users can specify the star rating they prefer.
  • Once the user has made their adjustments, they use the Regenerate button to update the estimates.

Note

The options available are not limited by the customer's configured policy. They are there to allow the user to make an accurate estimation of what their trip will look like. The user is responsible for staying within policy guidelines.

Summary

  • The Request Assistant helps users create accurate travel estimates based on chosen travel dates and destinations.
  • Users can enable or disable features and choose which travel segments (Flight, Train, Car Rental, Hotel, Taxi) need estimates.
  • Users can adjust options such as cabin class, car size, or hotel rating to refine their estimates.
  • The Flight and Train segments are mutually exclusive; only one can be chosen directly per request.
  • Users are responsible for ensuring their estimates comply with company travel policies.
