Filtered lists enable you to tailor the visible values for a field with a dropdown list of extensive predefined options, ensuring you do not accidentally choose irrelevant values.
In this video, you’ll learn how to use the filtered list to customize field values. In this demo, a UDF was already added to the marketing documents rows to define all valid color values. With the UDF already defined, you can use the UDV to limit this list of colors. To view and edit the UDF:
- In SAP Business One, Web client, from the home page, choose Administration, then the User-Defined Fields tile.
- Under Marketing Documents – Rows, choose the Color UDF that was defined earlier, then choose Edit. It is an alphabetic field type with Regular structure, and with Validation of Valid Values. This is the list of valid colors defined.
- To add more colors to the list with their value and description, choose Add.

Note
Filtered List UDVs can only be defined for drop-down list controls. They cannot be defined on text or numeric.
Note
After a field has been defined as UDV, you’ll see orange brackets around the field. If you don’t want to see the UDV indicator, you can turn it off by going to the profile icon, selecting Settings, and toggling off the Display UDV Indicator button. Changing this setting will only change the user display, not others.
