Customizing Control Data

Objective

After completing this lesson, you will be able to create a new document type, status network, and assign object links.

Document Types

So far, you have been using SAP Document Management (DMS) without any issues. Now, however, your company plans to implement a new CAD system, which requires existing entries to be adjusted or new ones to be defined. The good news is that SAP DMS makes these changes easy to implement.

The following video explains how document types are handled in SAP DMS. It shows how to define a document type, set up a status network, and configure the required object links.

Work with new document types

Introduction

So far, you have worked with the standard document types delivered by SAP and available in your system.

However, you now want to connect a new CAD system to SAP. During the evaluation phase, it became apparent that the existing document types are no longer suitable and that new document types are required. To support this scenario, you create the necessary settings in Customizing.

Task 1: Create a new document type

In the first task, you open the Customizing settings and define a new document type without using a copy template.

Watch the following video to see how a document type is created.

Task 2: Create a new document status network

Unlike other SAP objects, Document Management is based on a status network that is defined individually for each document type.

The following video demonstrates how a status network is created.

Task 3: Create a new object link

Since documents are not used solely to manage files but also to make information available to other business objects, object links are required.

The following video illustrates how to define an object link to the material for the new document type.

Task 4: Create a new document with the new document type

After the Customizing for the new document type has been completed, it should be tested by creating and processing a document attachment. To do this, you create a new document info record and work with it. If required, you can then adjust the status network in Customizing.

The following video now shows the creation of a document for the new document type.

Task 5: Define object links and control them inside material

In the final scenario, object links are configured and verified. To do this, you create a new object link and check it within the material. Based on the Customizing settings, you also have the option to create new documents directly from the material.

The following video shows the creation and control of an object link to a material.
