Managing Categories, Subcategories, and Product Types

Objectives

After completing this lesson, you will be able to:
  • Utilize categories and subcategories in SAP CPQ.
  • Assign visibility permissions for categories.
  • Assign product types to products.

Categories and Subcategories in SAP CPQ

Figure of the classifications listed under the Categories list

Categories in SAP CPQ are classifications used to organize products, making it easier for users to navigate and find what they need. They're essentially a method of arranging and managing the diversity of products on the platform.

Categories are organized in a hierarchical structure, allowing more specific subdivisions to exist under wider groupings. For example, if a company sells computers, they might have a "Computers" category. Under this category, they might have subcategories like "Laptops", "Desktops", "Workstations", and so on.

This hierarchical structure improves user experience by allowing easy navigation through the product catalog. Also, it helps in assigning product attributes, rules, and permission sets at various levels, which control the visibility, pricing, and other parameters at a granular level.

Each product must have at least one parent category or subcategory.

Once categories are created, subcategories can be added as a child of the category. Products can then be tied to either the categories or subcategories.

The product catalog features categories and subcategories accompanied by product images and descriptions.

The Product Organization of the Example Organization Supertech

Let's look at our business scenario Supertech, which sells computers and related components. Supertech wants to group its products into the following main categories:

  • Computer Systems
  • Hardware
  • Software
  • Services

These categories can be broken down into subcategories, which further helps to organize products in the catalog. For example, the hardware category will include subcategories for peripherals, such as printers and networking devices.

Visibility Permissions for Categories

The Permissions and Effectivity Dates for Product Categories are displayed

SAP CPQ allows the assigning of visibility permissions to control who can see and access certain product categories in the system.

Visibility permissions for categories and subcategories are configured to restrict access based on:

  • User Types
  • Companies
  • Markets
  • Brands
  • Custom Permission Groups

Also, visibility permissions set for a category can be applied to products and subcategories belonging to the category.

The figure shows the assignment of product types

Each product is also assigned a product type. Product types track order information in quotes displays subtotals by type, and set discounts by type.

Example: The Product Organization of Supertech

D-Link Range booster RouterHardware -> NetworkingHardware

Supertech wants to use product types to mirror some of the categories, such as hardware, software, and services.

Note

A product is defined by one product type only. A product type is tied to a specific product; however, a single product can be shared across multiple categories in a segmented catalog. Also, a single product can be added to multiple catalogs.

Subcategories will be used to organize products in the catalog. For example, the hardware category includes subcategories for peripherals, such as printers and networking devices.

Next, let's take a closer look at categories and subcategories in the following exercise.

Work With Categories and Subcategories

Business Scenario

Supertech provides hardware, software, and services to its customers. As part of its SAP CPQ implementation, Supertech needs these categories added to the Catalog.

Task Flow

In this exercise, you’ll learn how to:

  • Add a category
  • Add a subcategory
  • Assign a parent category to an existing category
  • Modify a product category

Exercise Options

To carry out the four tasks of this exercise, you can choose the following option: Platform Simulation: Watch the step-by-step instructions within the simulation.

To start the simulations, choose Start Exercise in the figures below.

Task 1: Add a Category

Task 2: Add a Subcategory

The Hardware category added to the Supertech Catalog needs to be branched further with subcategories for:

  • Servers
  • Optical drives
  • Hard drives
  • Monitors
  • Printers

Task 3: Assign a Parent Category to an Existing Category

After careful consideration, Supertech has decided that it wants to make Computer Systems a subcategory of Hardware.

The company also wants to add two subcategories to the existing Computer Systems category:

  • Desktop computers
  • Laptop computers

Add a Product Type

Business Scenario

Supertech wants to use Product Types that are similar to its Categories, including Services, which have been set up in the system. Now, Supertech has also asked that a Product Type is added for hardware, printers and another for miscellaneous computer peripherals, such as keyboards and mice.

Task Flow

In this exercise, you’ll learn how to add a new product type.
