Working with Users in SAP CPQ

Objectives

New Users in SAP CPQ

The figure shows the entry page to create new users.

Unlike user types that are categorized based on their roles, users are individuals with unique login details that are given access to the CPQ system.  

Users can be manually added one at a time or imported as multiple users from an Excel spreadsheet by using the Bulk Import/Export feature.

The Users page enables administrators to:

  • View a list of all the users in the system.
  • Edit, copy, or delete an existing user.
  • Filter users by specific and advanced criteria.
  • Add a new user.
  • Select columns to be displayed on the User page using the Display Settings option.

To access the Users page, go to SetupUsersUsers.

User Information Organization

Upon adding or editing a new user, information is organized into the following tabs:

  • General
  • Address
  • Date and Number Settings
  • Additional Settings
  • Custom Fields

Next, let's continue setting a new user with a temporary password.

Management of Passwords

Forgotten Passwords

If you've forgotten your password, you can easily reset it to regain access to your account. Note that if you attempt to reset your password three times within five minutes, you'll need to wait an hour before submitting another request.

Password Reset Procedure

  1. On the login page, choose Forgot your password? to be redirected to the password reset page.
  2. Enter your email address and domain name, and then choose Submit.
  3. You'll receive an email with instructions on how to reset your password.
  4. Complete the following steps:
    • Check your inbox for an email with the subject Reset your password.
    • Choose the Reset Password button in the email or paste the provided link into your browser.
  5. Complete the process promptly because the password reset link is valid for 30 minutes only.
  6. On the password reset page, enter your new password in the designated fields. Be sure to follow the guidelines in the Password Requirements section.
  7. After entering your new password, choose Submit. You’ll be redirected to the login page, and a confirmation email will be sent to inform you that your password has been successfully changed.
  8. Return to the login page and use your new password to access your account.

Password Changes

After logging in, you can easily change your password from the User Page. It's recommended to update your password regularly to improve security and protect your data.

Choose your name in the top-right corner and select User Page. Enter your username, current password, and new password, then choose Change Password. A confirmation message will appear once the password has been successfully updated.

Create a New User

Business Scenario

Supertech has onboarded new sales personnel who will create proposals in the SAP CPQ. These individuals will assume the newly established roles of Sales Manager. A prerequisite for system usage is the possession of their own user accounts within the system. Consequently, it's necessary to give access to them by creating new users in the SAP CPQ system.
