Manage Change in SAP EHS Workplace Safety Solution

In today's dynamic business landscape, organizations frequently undergo changes to processes, equipment, and organizational structures. These changes, while often necessary for improvement and innovation, can introduce new risks if not carefully managed. SAP S/4HANA Cloud Public Edition, EHS Management, provides robust Management of Change (MOC) capabilities, empowering companies to systematically manage and mitigate risks associated with these changes. A cornerstone of this capability is a structured review and approval process, designed to ensure that all proposed changes are thoroughly assessed for potential hazards before implementation. This enables the maintenance of safe and compliant operations, applicable from the organizational level down to specific equipment and processes.

What Is Management of Change?

Management of Change (MOC) is a systematic process for managing risks associated with changes to process chemicals, technology, equipment, procedures, and organizational structures. It ensures that all proposed changes are thoroughly reviewed and assessed for potential hazards before implementation. The objective of MOC is to provide a system to execute and monitor change effectively within an organization, thereby avoiding unknown or uncontrolled operational risks. MOC requires that the technical basis, timeline, impact on health and safety, and authorization requirements of any change are documented to meet regulatory requirements.

Types of Change

  • Technical Change:
    • Changes or deviations to operating design limits.
    • Changes or deviations to process equipment.
    • Changes or deviations from the composition or use of process substances.
    • Changes or deviations to process design.
  • Administrative Change:
    • Changes to requirements in controlled documents.
    • Changes to or deviations to Standard Operation Procedures or Work Instructions.
    • Selection of a new contractor company to perform any safety-relevant work.
  • Organizational Change:
    • Changes to the organizational structure or reporting relationships.
    • Loss, transfer, or delegation of responsibilities of personnel with specific knowledge.
    • Changes to a training module or curriculum.

Change Considerations

  • Temporary Change:
    • Change that is implemented for a short, predetermined, finite period.
    • Requires handling of overdue temporary changes (extend, permanent, revert).
  • Emergency Change:
    • Change that is required to avoid immediate damage to a facility or equipment.
    • Urgently/Immediately required change.
  • Replacement-in-Kind (RIK):
    • An item that meets the design specification, if one exists, of the item it is replacing.
    • Important to note that this may not always be considered a change.

Key Capabilities of SAP S/4HANA Cloud Public Edition for Management of Change

SAP S/4HANA Cloud Public Edition offers several key capabilities to support an effective Management of Change process:

  • User-Friendly Interface: An easy-to-use user interface that encourages employees to actively participate in the change management process.
  • Configuration: Highly configurable, using templates and rules to decrease implementation and adoption costs.
  • Effective Task Completion: Facilitates timely and effective completion of reviews, approvals, and change implementation activities.
  • ERP Integration: Closed-loop integration with core ERP to reduce data entry and ensure data accuracy.
  • Auditability: Provides a consistent and auditable record of all change management activities.

Benefits of Effective Management of Change

Changes, even seemingly minor ones, can introduce new hazards or compromise existing safeguards. A poorly managed change can have severe consequences, leading to incidents, injuries, environmental damage, and financial losses. Studies have shown that up to 80% of large-scale incidents can be traced back to failures in the Management of Change process. A well-executed MOC process is crucial for preventing severe industrial accidents. Implementing a robust Management of Change process offers several key benefits:

  • Risk Mitigation: Reduces the risk of environmental noncompliance and associated penalties.
  • Licence to Operate: Ensures that the organization maintains its licence to operate by adhering to regulatory requirements.
  • Improved Efficiency: Best-in-class operational change management improves overall equipment efficiency and increases the operating margin.
  • Accuracy and Transparency: Provides improved calculation accuracy and transparency in change management activities.
