Creating a Distribution List

Objective

After completing this lesson, you will be able to create a tiered Distribution List in SAP Fieldglass.

Distribution Lists

Distribution Lists are used to ensure job postings are properly routed to applicable suppliers for a given contingent labor position. A distribution list can contain a single supplier or multiple suppliers grouped by level of distribution, based on contractual agreements between a buyer and their supplier base.

Appropriate distribution lists must be created before an associated job posting template can be created.

The associated distribution lists will appear on the job posting. If configured in the job posting template, the distribution lists can be locked so that they cannot be changed, or unlocked so that the job posting creator can select the supplier that should receive the job posting.

For example, WorkingNet Networking Inc., a global manufacturer of data networking equipment, can group suppliers who provide candidates for their network engineering needs under a distribution list called Engineering. They may have more than one distribution list, such as Suppliers grouped by different countries or regions. Basically, a distribution list can be created to support any grouping of suppliers that best supports the worker procurement needs of the organization.

Distribution List Details Page

A distribution list is comprised of selected suppliers placed in a ranked order of preference with specific rules for how and when a job posting will be distributed to them.

Below that is the supplier tier list, with three tiers illustrated. The first tier lists two suppliers, indicating their code, name, and their usage. The second and third tiers list one supplier apiece. Each level indicates a rule.

4Usage values allow suppliers to either receive job posting automatically or be selected manually during job posting creation. Four usage values can be selected here: Mandatory suppliers are automatically selected for distribution and cannot be removed from the list. Preferred suppliers are automatically selected for distribution but can be manually deselected. Optional suppliers are not automatically selected for distribution but can be manually selected. Disallowed suppliers cannot be added to this list.
5If a distribution list consists of two or more levels, Rules must be established to determine when an associated job posting will be distributed to the next level. Distribution lists with multiple levels consider all previous levels before distribution to the next level. In order for Distribution to be successful, Suppliers must also meet the following conditions: Be associated to the distribution list as mandatory or preferred Be associated to the site on the job posting. The rules illustrated here indicated that distribution to the second tier will be triggered when no responses are received from the first tier suppliers within 24 hours. The third tier will be triggered if there are no responses from the second tier within 72 hours.

Create a Distribution List

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building new distribution centers in several countries, while simultaneously implementing new logistics software and processes. The new logistics processes will require WorkingNet's accounting methods to be revised.

To help transition to the new software and the revised accounting methods, Melanie, the manager of the finance department at WorkingNet, needs to procure several accounting clerks for the six-month period in which the software is being configured and implemented.

To accommodate these new positions, a new Job Posting Template must be created.

But since WorkingNet has never temporary accounting clerks before, it will need to first create distributions lists consisting of suppliers who provide workers with accounting experience so they can be associated to the job posting template.

Here's how you, the administrator for WorkingNet, will create the accounting clerk distribution list in SAP Fieldglass.
