Creating a Job Posting Template

The job posting template contains most of the assignment information and settings that ultimately determines what information is added to a job posting, which in turn drives the work order generated to procure a contingent worker. It is critical for buyers to understand this when creating their templates to ensure as much detail can be solidified upfront whilst reducing the likelihood of requiring amendments or corrections to the data.

Thus, as with any business decision, planning is critical to the development of a job posting template. The key information required for a buyer's contingent procurement transactions should be determined before a template is built.

The creation of a job posting template in SAP Fieldglass is divided into four steps:

  1. Choose the contingent type
  2. Enter the base information
  3. Enter the accounting information
  4. Review and save the template

In general, this process mirrors the process of creating a job posting itself: choose the template (Setup page), enter the base information (Details page), enter the accounting information (Augment page), and review and submit.

Here's what would be involved in creating a job posting template:

Choose the Contingent Type

Contingent types are commonly configured with regional or role-based requirements in mind, to simplify the overall volume and maintenance of Job Posting Templates, whilst catering to any regional or role nuances.

Selecting a contingent type is required when creating a job posting template. Thus, a contingent type must be in place before a template can be configured.

Enter the Base Information

The base information determines the specifics of the position, such as title of the template, whether the PMO assisted workflow will be enabled, the job code and labor type, and any optional qualifications, among others.

Enter the Accounting Information

The accounting information drives the financial aspects of job posting, such as rates, distribution settings, and rules.

A Rate is the amount the Buyer pays for a worker or service. Rates are a complex mix of various admin objects, and must be constructed before any transaction can take place in SAP Fieldglass. Rates must be applied to job posting templates before they can be used in transactions.

An organization can also choose to include Worker Pay Types, Distributions Lists, and Job Questions on the Quality Assurance job posting template. These items are optional but must be configured before they can be used in a template.

  • Worker Pay Types association category that allows for variances in pay rates based upon certain circumstances, such as whether the supplier or buyer will be responsible for paying the worker or to account for time sheet variances between day and night shifts.
  • Distribution Lists are structured lists of suppliers who should receive a particular job posting. If an organization uses multiple suppliers for a particular job type, a distribution list will allow all of those suppliers to receive a job posting for a specific type of worker.
  • Job Questions are questions that appear on a job posting that a job seeker must answer before being considered for a position. They can help hiring managers confirm a job seeker's suitability for the position.
  • Job Questions must be associated with a Job Question Checklist before they can be used in transactions, so they must be configured as well before creating the job posting template.
