Configuring Approval Groups for Services

Objective

After completing this lesson, you will be able to configure an Approval Group for a statement of work in SAP Fieldglass.

Approval Groups

Approval Groups are groups of authorized approvers who are notified when particular work items are submitted.

For example, when a worker submits a Time Sheet for their hours worked, the Time Sheet must be approved before it can be invoiced.

A statement of work displaying the approval group. It contains two approval sequences, the first of which is marked complete and is collapsed to show only the heading. Sequence 2 has two required approvers, both of whom approved the SOW, listed in between a box labeled Submitted, and a box labeled Approved, both of which display a green checkmark. The two approvals are marked completed, indicated by a green box with a green checkmark.

Throughout the lifecycle of SOW creation and management there are a variety of times where an organization may want, or need, to configure approval groups, such as when approving a newly created SOW or revising the terms of an existing one, updating fees or other characteristics, or when an SOW Worker is added to a project.

Configuring approval groups for SOWs and SOW workers is different from the approval groups used for the Contingent module. Therefore, approval groups for the Services module must be created separately.

Configure Approvals for an SOW

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building several new distribution centers in several countries, while simultaneously implementing new logistics software and processes.

Their first new distribution center is being built in a suburb of Atlanta, so WorkingNet will use the new Atlanta hub as their base of operations. They're going to engage CarryAll Consulting, a logistics design and implementation firm, to both help streamline their logistics processes as well as implement the new software.

In order to engage CarryAll, WorkingNet will use SAP Fieldglass to create the statement of work. However, they've never engaged a services provider for this type of work before, so WorkingNet will need to build a new SOW Template to accommodate this project.

Because this is a new direction for WorkingNet, the company wants a specific approval group created to route the new Logistics SOWs to the correct people for review and approval.

They have provided you with the requirements, so as the administrator of SAP Fieldglass for WorkingNet you will now build out their logic as a new approval group.

Summary

Approval groups are crucial for ensuring that work items, such as SOWs, are reviewed and approved by authorized personnel, thereby streamlining operations and maintaining compliance.

Key Points:

  • Purpose of Approval Groups: Authorized approvers are notified when particular work items are submitted, ensuring proper review and approval before work proceeds.
  • SOW Approval Needs: Approval groups are necessary throughout the SOW lifecycle for approving, revising, and updating SOWs and associated workers.
  • Separate Configuration: Approval groups for SOWs in the Services module must be created separately from those in other modules.
  • Customizable Options: Approval groups can be configured with various options, including role-based approvals, approval types, and messaging types to fit the organization's needs.
