Description
This feature enables buyers to integrate SAP Ariba Contracts with third party Document Management Systems (DMS) like DocuSign to create and update contract documents. Buyers can assemble and author contract documents and perform tasks such as review, approval, and signature of the documents in the integrated third party DMS system.
Buyers using SAP Ariba Contracts can create contract workspaces directly from the application or through contract requests. Buyers having SAP Ariba Contracts integrated with SAP Ariba Sourcing can create contract workspaces from sourcing awards.
Prerequisites
- This feature is applicable to contract workspaces of type Contract Workspace (Procurement) only.
- The following parameters must be enabled in SAP Ariba Contracts:
- Enable SAP Ariba Contracts integration with third party Document Management Systems (Application.ACM.ThirdPartyCLMSystemIntegration)
- Specify the hostname of the third party Document Management System (Application.ACM.ThirdPartyCLMSystemIntegration.HostName)
- Specify the URL Context of the third party Document Management System (Application.ACM.ThirdPartyCLMSystemIntegration.URLContext)
- You must be the contract owner (Primary Owner) or a user who has been granted permission by the contract owner (Secondary Owner) to access the third party DMS.
- Ensure that you have implemented the necessary SAP Ariba APIs to enable communication between SAP Ariba Contracts and the third party DMS. These APIs are available on the SAP Developer Portal.
Restrictions
The following restrictions apply to contract workspaces when SAP Ariba Contracts is integrated with a third party DMS.
- As a template administrator, while working on a procurement contract template, you cannot:
- Upload a Main Agreement or a contract addendum document to the template.
- Create a new review or negotiation task in the template.
- Apply conditions, either manually or using the Condition Mapping feature to mass-apply conditions to a Main Agreement, contract addendum documents, clauses, or folders in the template.
- As a buyer user, while working on a procurement contract workspace from the UI, you cannot:
- Create a new review or negotiation task for a Main Agreement, contract addendum document, or a folder.
- Configure the contract workspace to self-start new review and negotiation tasks for a Main Agreement, contract addendum, or folders.
- Outline view is not supported for Main Agreement and contract addendum documents uploaded to a contract workspace.
Note
When SAP Ariba Contracts is integrated with a third party DMS, the Main Agreement and contract addendum documents in contract workspaces are processed in the third party DMS and not in SAP Ariba Contracts. Therefore, if you choose to turn off the integration between SAP Ariba Contracts and the third party DMS, the Main Agreement and contract addendum documents which were not processed by SAP Ariba Contracts will not be shown in the outline view.Changes to Existing Functionality
Previously, the buyers created contracts using SAP Ariba Contracts. All the tasks like contract request, assembly, validation, signature, and publication were performed in SAP Ariba Contracts.
Now, the buyers can choose to integrate with third party DMS like DocuSign to assemble, review, and negotiate contracts. Tasks such as contract request, publication, and amendment requests are performed in SAP Ariba Contracts. Buyers can navigate between SAP Ariba Contracts and the integrated third party DMS using links that are established after a contract is created.
