What is Joule

What is Joule?

Joule is SAP’s generative AI copilot that acts as a professional assistant within your procurement workflow. It uses a natural language, conversational interface to understand user intent and business context, allowing you to execute tasks without needing to be an expert in the system’s navigation. It serves as a "front door" to your SAP applications, simplifying how you track requests, find information, and manage approval

Interactions with Joule

Joule uses four primary patterns to assist you in your daily work:

Transactional PatternThis allows you to manage business processes directly via chat, such as checking statuses or retrieving specific data points without opening different application screens.
Navigational PatternJoule provides deep links to the exact screen or application needed for your next task, keeping your conversation history intact as you move.
Informational PatternJoule summarizes help documentation and can even answer questions based on your company’s specific policies or FAQs.
Analytical PatternYou can ask analytical questions to gain instant insights from your procurement data.

Joule copilot into SAP Ariba Guided Buying

SAP Joule introduces a fundamental shift in how organizations interact with procurement software.Joule is a generative AI copilot replacing traditional, rigid software menus with a fluid, conversational interface.

Users can launch the assistant instantly from any screen by selecting the diamond emblem found in the upper-right navigation menu. This action triggers a split-screen side window, enabling users to message the AI directly without interrupting their active procurement workspace.

The image displays the SAP Ariba Buying interface with several category tiles, including IT hardware and software, office supplies, facilities management, professional services, maintenance, repair and operations, and frequently requested items. On the right side, a digital assistant named Joule is open, offering guidance and options for user support.

The integration of the AI-driven Joule Copilot into SAP Ariba Guided Buying stems from a vision to transition away from manual processes toward instant, intelligent answers by combining scattered procurement steps into a single, unified assistant. Traditionally, users lose significant operational efficiency clicking through fragmented dashboards, separate reports, and complex contract documents, which slows down decision-making and increases compliance risks. To systematically eliminate these bottlenecks, Joule operates natively as an always-ready side panel, allowing users to simply type questions in plain English to pull real-time database records, track order approvals, or navigate to target pages entirely inside the active workspace without opening separate tabs.

The image below demonstrates how the AI-driven Joule Copilot integrates directly into the Guided Buying workspace as an always-available side panel. This setup keeps everything in one place, allowing users to get quick answers without opening new tabs or leaving their main page.

Instead of hunting through complex menus, a casual user can simply type a natural question like: "Show me the list of requests that I created recently."

The image displays the SAP Ariba Buying interface with the Joule side panel open on the right. The left side highlights four key features of Joule in a blue overlay: the Intuitive Side Panel, which sits within the procurement dashboard as an always-available assistant; Instant Visibility, which surfaces recent purchase requisitions immediately; Frictionless Tracking, which shows real-time order statuses such as Ordered or Submitted directly in the chat; and One-Click Details, which allows users to open order details instantly using the Open in App button. The right side shows a live example of the Joule panel responding to the prompt Show me the list of requests that I created recently, displaying two purchase requisitions with their status and an Open in App button for each.

Once the list appears, the user can immediately follow up on a specific item by asking Joule to "show approvers for PR4633." This single command instantly unlocks critical request tracking details:

Clear Ownership:Joule identifies exactly who needs to sign off next, explicitly showing that the request is currently sitting with the Asset Manager.

Live Status Tracking: The system flags the approval status as "In Progress" so the user knows it is actively being reviewed.

Proactive Next Steps: It automatically suggests conversational shortcuts at the bottom (like Shipping details or Status of the requisition) to help gather more information with a single click.

The image displays the Joule conversational assistant panel showing a response to the user prompt show approvers for PR4633. Joule returns the approver details for purchase requisition PR4633, identifying the Asset Manager as the approver with a status of In Progress. Below the result, Joule asks, Is there anything else that I can help you with? and offers three quick-reply options: Shipping details, Status of the requisition, and No, I'm done. The left sidebar shows the active conversation listed under the title Approvers for PR4633.

Building on this tracking process, Joule allows casual users to dive deeper into the item details without navigating back to a complex backend portal. Continuing the chat conversation, the user can request specific requisition data with a prompt like:

"show purchase requisition from here: PR4633"

This command brings key order details straight into your chat. Joule instantly displays itemized data like the product description (Dell PowerEdge R220 Server) and price (1,040 USD), surfaces tracking info like the request date (24 May, 2026) and current status (Submitted), and provides an "Open in App" link to jump directly to the master record.

Beyond answering queries, Joule gives you full control over your chat workspace directly from the header tools. You can expand the side panel to full screen for a better view of large lists, use the three-dot menu to rename chats for easier organization, and clear your history by choosing delete or clicking new to start a fresh inquiry instantly.

The image displays the Joule assistant panel responding to the prompt show purchase requisition from here: PR4633. Joule confirms access to the requisition and shows the details for purchase requisition PR4633, which has a status of Submitted and was requested on 24 May 2026. The item listed is a Dell PowerEdge R220 Server priced at 1,040 USD per item, with a quantity of one. An Open in App button allows the user to navigate directly to the full requisition. In the top-right corner, a context menu is open showing three options: Rename, Delete, and New. The left sidebar highlights the New Conversation button and lists the active conversation titled Approvers for PR4633.

Beyond managing the workspace itself, Joule adapts to any quick task an employee needs throughout the day. Instead of navigating through multiple procurement screens, casual users can type a variety of simple phrases to pull up information instantly:

  • Track Approvers: See exactly who needs to sign off on an order next by typing a phrase like, "Approvers for PR123".
  • Check Status: Instantly find out if an item is submitted, approved, or shipped with prompts like, "Show me the status of PR123".
  • View Shipping Details: Pull up delivery locations quickly by asking, "What is the shipping address".
  • Access Favorites: Jump straight to your saved shopping lists or preferred products with a command like, "Take me to my favorite items".
