Describing SAP Ariba 2505 Release Features

Objective

After completing this lesson, you will be able to describe new or changed features for SAP Ariba Sourcing in the SAP Ariba 2505 release.

Ability to Collect Volume Pricing Information for Product Sourcing Materials with Quarterly and Annual Validity Periods

Business Details

This feature enables buyers to create sourcing events for product sourcing materials having volume data, where they can choose to collect pricing information with either monthly, quarterly, or annual validity periods. The events then display the required quantity for the chosen period, based on the specified validity and recurrence settings.

Previously, in sourcing events for product materials with volume data, the required quantity was automatically calculated only for materials with a monthly validity period. For other validity periods, buyers had to determine the required quantity manually. Now, the calculation is automated for materials with monthly, quarterly, and annual validity periods.

Implementation Details

General Prerequisites

  • Your site must have the SAP Ariba direct materials sourcing add-on activated.
  • The sourcing events created to collect the material pricing must originate from the product sourcing user interface.

    Note

    The feature is supported in sourcing events created using the guided sourcing and the classic SAP Ariba Sourcing user interface.
  • The volume data for the required materials must be imported in your site.

Business End User Tasks

You can create sourcing events for product materials that include volume data using the guided sourcing or the classic SAP Ariba Sourcing user interface. You can choose to collect pricing information with either monthly, quarterly or annual validity periods. The events then display the required quantity for the chosen period, based on the specified validity and recurrence settings.

Prerequisites

  • The volume data for the required materials must be imported in your site.
  • The template identified for creating the sourcing event must be configured to set the following bidding rules:
    • Allow Pricing Conditions
    • Validity Period Type (Monthly, Quarterly, and Annually)
    • Start Date
    • Number of Periods
    • Enable Period Quantity
    • Suppliers can view period quantity
  • To view and select materials for quote requests, you must be a member of one of the following groups:
    • Materials Viewer
    • Materials Manager
  • To create quote requests, you must be a member of one of the following groups:
    • Category Manager
    • Commodity Manager
    • Customer Administrator (access to this group must be approved by SAP Ariba)
    • Event Administrator (access to this group must be approved by the SAP Ariba Market Coordination Team)
    • Junior Procurement Agent
    • Junior Sourcing Agent
    • Limited Event Administrator (access to this group must be approved by the SAP Ariba Market Coordination Team)
    • Procurement Agent
    • Sourcing Agent
    • Sourcing Approver
    • Sourcing Project Administrator (access to this group must be approved by the SAP Ariba Market Coordination Team)

Procedure

  1. Go to the Product Sourcing tab from the home page and select the Materials radio button.
  2. Search for the material by providing the material name or ID in the search field. You can also select Advanced Search and enter multiple material IDs separated by spaces on the Advanced Search page.
  3. To verify if the volume data for the selected material is imported successfully in product sourcing, select on the material ID and select View item 360.
  4. On the View item 360 page, go to the Price Trend tab.
  5. Select a plant from the Contract MFR dropdown and choose a time period. The volume data for the selected plant and time period is shown on a bar chart.
  6. Go back to the search results page and select the material for which you want supplier quotes. Then select Material quote.

    Note

    If the material is associated with multiple plants, select the Contract MFR link and ensure that you select only the plant that you have associated with the material during the volume data import.

  7. On the Get Quote popup, select the Guided Sourcing option from the Use section. If you want to create a sourcing event in the classic SAP Ariba Sourcing user interface, select Sourcing Project.
  8. Select the integrated ERP system from the External System dropdown and select Continue.
  9. On the Volume Integration popup, select Yes to include volume in your quote.
  10. Select the Volume Type and select Continue. Ensure that you select the value that was set for the material while importing the volume data.
  11. On the Create guided sourcing project page, enter the necessary details to create a sourcing project. If you have chosen to create a sourcing project in the classic SAP Ariba Sourcing user interface, enter the necessary details on the Create Sourcing Project page.

    Note

    Ensure that you select the template that you have configured as part of the prerequisite for this task.
  12. Select Create. SAP Ariba automatically transfers historic prices, quantity, supplier-specific prices, terms with supplier-specific values, volume data, and suppliers to the sourcing event. In the Items that need quotes section, the period quantity value is displayed as a link under the Quantity column. The period quantity is calculated based on the selected validity period and the recurrence (number of periods) settings.
  13. Select the period quantity value to view the volume data on a bar chart.
  14. In the Items that need quotes section, select the Pricing Condition (Validity Period Type) link. The period quantity value calculated for the selected validity period is displayed.
  15. Optional: You can choose to collect pricing for other product sourcing materials for which you have imported volume data. To do so, select AddItem from material master. The Add items from material master page appears where you can search for the required material and add it to the event.

    Note

    • The pricing information is calculated only if the material is added to a sourcing event originating from the product sourcing user interface; it is not calculated for materials added to standalone sourcing events.
    • If you add a product sourcing material that doesn't have volume data, the period quantity is not calculated and a default value 0 is shown in the Quantity column.
  16. Optional: You can choose to modify the validity period type of a material. To do so, select the material and choose Edit Pricing Conditions. On the Edit pricing conditions settings popup, you can change the validity period type and other pricing conditions for the material as required. The period quantity is recalculated to adapt to the updated validity period and recurrence settings.

    Hint

    The period quantity recalculation occurs only when the Validity Period Type is set to either Monthly, Quarterly, or Annually. For all other validity period types, the period quantity is not calculated and a default value 0 is shown in the Quantity column.

  17. Add the required event content, invite suppliers, and publish the event.

Guided Sourcing Integration with WalkMe

With this feature, SAP Ariba Sourcing is integrated with WalkMe Digital Adoption Platform. You can take advantage of easy-to-understand descriptions and guidance within the guided sourcing user interface offered by WalkMe.

WalkMe is an AI-powered Digital Adoption Platform (DAP) that empowers organizations to deliver real-time guidance, automation, and insights directly within the flow of work. By analyzing user interactions across software systems, WalkMe helps identify friction points, improve user proficiency, and promote self-sufficiency. This leads to faster technology adoption, enhanced productivity, and greater return on enterprise software investments.

WalkMe offers guidance for the following processes for you to try:

  • Create a guided sourcing project
  • Create a guided sourcing event
  • Create a guided sourcing event in project
  • Invite suppliers

Users access WalkMe by selecting the WalkMe icon in the banner of any supported page, including supported classic interface pages. If SAP Companion content is available for the page you are on, WalkMe displays a Switch to Help Topics option at the bottom of the WalkMe panel. If you choose to switch to SAP Companion content, you can switch back to WalkMe with the Switch to Guided Help option, located in the same location.

You can launch the tour for the process you need help with. The tour provides short descriptions of the main steps and walks you through the steps until you complete the process. You can also choose to close the tour at any point.

WalkMe is currently supported in Google Chrome, Microsoft Edge, Mozilla Firefox, and Apple Safari, and the content is available in all languages supported by SAP Ariba.

Implementation Details

General Prerequisites

This feature is supported only in the guided sourcing user interface. To use this feature in the guided sourcing user interface, your site must have guided sourcing enabled and you must be a member of the Category Buyer group.

Configurations

  • WalkMe is disabled by default. To enable it, set the ICM parameter Application.AQS.Minerva.WalkMeDisableDefaultContent to No.
  • Configure the ICM parameter Application.AQS.Minerva.WalkMeCustomerSystemUrl to specify the URL of custom WalkMe content if you have developed content using WalkMe Premium. If this parameter is empty (default), SAP WalkMe displays standard content.
  • Analytics are collected by default to log the usage of WalkMe. To disable it, configure the parameter Application.AQS.Minerva.WalkMeEnableAnalytics to No.

Using WalkMe Walk-Thrus

The WalkMe icon appears on the pages that are related to the processes for which WalkMe guided tours are available. The following procedure explains how you can use the tour.

Procedure

  1. Select the WalkMe icon. The help popup appears.
  2. Select the process for which you want assistance.
  3. An introductory text bubble appears, with a brief description of the process.
  4. Select Next.
  5. Text bubbles with guiding text appear for the main steps of the process to assist you through the process. For some UI elements, such as text fields, the bubble automatically moves to the next step as soon as you finish entering the value. In other places, Next and Back navigation buttons are provided.
  6. The tour ends at the end of the process. WalkMe can also suggest the next process to follow.
