Integrating Microsoft SharePoint: Uploading Files Using Workflow Activities

Microsoft SharePoint Integration

The Microsoft SharePoint integration is a new feature within the SAP Signavio Process Governance. Let's take a quick look back at what SAP Signavio Process Governance is all about. SAP Signavio Process Governance is a web-based workflow modeling and execution platform. With workflow automation, you can streamline various business processes—whether industry-specific or central functions like human resources.

Why is the SharePoint Integration Useful?

  • Standardization: Automating the SharePoint upload within workflows enhances efficiency by saving time, minimizing errors, and streamlining processes.
  • Compliance: The standardized upload process ensures files are accurately placed in the correct SharePoint location, reducing human error while improving visibility and control for better workflow management.

SAP Signavio Process Governance includes a new template activity for uploading documents to Microsoft SharePoint directly from workflows. Administrators can configure SharePoint upload settings and enable them within the workflow editor, while modelers can seamlessly integrate this functionality into workflow designs, enhancing automation and efficiency.

Configure the SharePoint File Upload

To configure the SharePoint File Upload activity, you must first store the SharePoint credentials. To do this, go to the Credentials tab and add the necessary login information.

Here, you configure the credentials for SharePoint, enabling you to upload files automatically to your SharePoint within a workflow. When setting up the credentials, it’s important to provide a name and a secret key. The secret key is used to store sensitive information, such as passwords, and SAP Support does not have access to this key.

After creating your SharePoint credentials, switch back to the Activities tab to configure your task for uploading files to SharePoint.

After configuring the settings in the dialog window and filling in the required fields, you must activate the activity by selecting the checkbox. If you don't check the box, the activity cannot be used in the workflow.

Note

Within your configurations, you need to add a Tenant ID. This ID can be accessed through your SharePoint Admin section. To obtain the Tenant ID, you will need to coordinate with your IT Department.
