The journal entries file ensures a company’s financial records are accurate and complete. It helps to verify and trace transactions, detect and correct errors, ensure compliance with regulations, and support internal audits. Additionally, it aids in financial reporting by providing the data needed to prepare financial statements.

In SAP Business One, a journal entry is automatically posted from many documents, such as A/R and A/P invoices. Additionally, you can manually post a journal entry directly to a G/L account or to a business partner sub-ledger account. All journal entries are posted to one file in SAP Business One – the Journal Entries file.
In SAP Business One, Web client, the Manage Journal Entries list view is your entry point to the Journal Entries file. To access it, go to the home page, and choose the Journal Entries tile in the Accounting group.

All journal entries refer to their origin and you can filter the journal entries list accordingly.

The Manage Journal Entries list view allows you to process and analyze company journal entries. This view offers a range of features and options that allow you to:
- Search for specific data records.
- Perform various actions with multiple records, like cancel and reverse.
- Sort, filter, and group to restrict the data records currently displayed in the table area.
- Export to Microsoft Excel.
- Present, save, and share views.
- Link list views.
- Control how the data is displayed in the table: Table View, Chart View, and Card View.
- Navigate to a detailed view of a specific data record.
Note
In selected marketing documents, there is the Journal Entry Preview option, which allows you to preview the automatic journal entry that will be created before you add the document.
