Use Case Detailed Description 

As next step, each of the top three scenario ideas selected are described in detail using a template called the use case brief. This template includes three perspectives, business, technical, and ethical. The use case brief template helps participants to turn their scenario idea into a use case. To save time, it is recommended to split the teams in pairs and have each pair work on one or two solution ideas. participants to start with a business view and then continue to the technical and ethical views. Let's look at an example of how to fill out these templates using the scenario idea for the customer service employees. First, it is recommended to write the name of the solution. Here participants should be creative and think about a catchy and descriptive product name for their idea. In this case, the product will be called Intelligent Mail Insights. Continue with the target user roles. Describe here all the user groups of the future solution. These can be taken from the scenario sentence. Next, list all the objectives that the user should be able to accomplish with the solution. These normally start with a verb and refer to the reasons for using the solution in the first place. For example, why would the customer service officers use the Intelligent Mail Insight solution for? To manage and prioritize customer requests, to address requests accurately, and to respond to customers on time. Note that these are all objectives that the target users of the solution have as part of their job, independently of the new or existing solution. The new solution ideas should support the end users in achieving their existing objectives. Next, list all challenges the solution is addressing. These can be taken from the scenario sentence. Next write the business benefit. This can be a KPI or a specific value that the company should gain by using the solution. For example, a solution that will be used by every single employee in the company will have a higher reach than a solution that will only be used by one team or department. The strategic relevance refers to the importance of the proposed solution to support the company in achieving strategic targets. Participants should think about the company's vision, end targets, and decide how much could the solution idea contribute to achieve them. The business value refers to the impact the solution would have when achieving the business benefits outlined earlier. Note that the relevance indicators are not absolute values but comparative ones, so ask participants to select them in comparison with other use cases they are describing. Finally, participants should complete the process steps. Here, participants describe how the process they want to improve with a new solution is currently running step-by-step. Ask them to enclose in a circle the steps that should be improved with AI capabilities. Once a business view is complete, participants can continue with a technical view. This view will work best if you have representatives from the implementation team who know which data can be useful and what the limitations of the technology are. Participants should document the following in this view. data that is needed as input for the solution to work, this can be parts of the prompts, context information, as well as the systems the data needs to come from. The main capabilities the solution should have and the expected output used by end-users, and the AI limitations that could affect the use case. To identify AI limitations, participants can use limitation cards. The back of these cards include discussion questions to help participants determine if their solution should be affected by the limitation. Finally, have participants fill out the ethical view. This view consists of a checklist of possible ethical risks based on SAP's ethical handbook. It aims to make participants aware of ethical considerations when implementing the use case. Questions answered with not clear yet should be reviewed again at later stages, but before implementation. Questions answered with yes should accompanied by comments indicating possible risk mitigations for the aspect they refer to. For example, if the use case needs to process identifiable personal data, think about how this data could be anonymized without negatively impacting the desired benefits.
