Welcome to the guided sourcing demo. In this introduction, we will explore the innovative features of guided sourcing, starting with the creation of a full sourcing project. As a buyer, you will learn how to navigate through the creation screen, select project options, and populate essential fields. This demo will highlight the seamless integration of tasks, documents, and supplier information all within one screen, enhancing efficiency and user experience. We will also delve into advanced functionalities such as multi-round bidding and smart import, showcasing how guided sourcing simplifies complex processes and offers intelligent recommendations to optimize your sourcing events. Join us as we demonstrate the power and convenience of guided sourcing in streamlining procurement operations. Guided sourcing project creation involves setting up a comprehensive sourcing project. The process includes populating project details, linking to predecessor projects, and utilizing templates. It streamlines tasks, document management, and event creation, enhancing efficiency and integration. Let's start with creating a guided sourcing project. I'm the buyer in this scenario. In the Create screen, I can see not only classic sourcing, but also the guided sourcing project option. Let's select that one. Now in the create mask, we see the usual fields we know from classic sourcing. So let's start with populating the project name. I am then going to select the full project. In the test project indicator field, I select yes. Next, I scroll down to header fields where I'm going to link my current project with the predecessor project. Later on, I will show you a functionality available in guided sourcing. Select the region and other header fields, like commodity as well. Then I'm going to select a template for my full guided sourcing project. With all the header fields populated, I can now create my project. I have landed now in the full sourcing project. I will now show the differences to you. So first, I'm going to the main menu in the top right corner. There are a couple of options which are new, and many options which you know from classic sourcing. Now in the top of the screen, I see here a progress bar showing what the current status of the project. There are four phases. Scrolling down to the project insights, you can view the statistics around tasks, how many tasks there are, how many are completed, and the same for phases, milestones, and more. Further down are the tasks organized into phases. Everything is available directly from the screen. So for example, if we take a simple to-do task, I can start it right away from the screen. I can also set it directly to complete. The system is indicating the status. If we take an example of an advanced task, like a workflow task, then here for the approval, I see directly what is the subject of approval and who is the approver. Scrolling down again, I see here the folders with documents. Everything is available in one screen, removing the need to switch screens since everything is on the right-hand side. We see here SAP Companion, which is the default contextual help available. If you have a license for SAP Companion, then you can also customize this contextual help. Guided sourcing event creation involves selecting project templates, linking to predecessor projects, and populating necessary fields. It streamlines tasks, integrates documents, and leverages AAI for smart import and supplier recommendations, enhancing efficiency and decision making in sourcing events. I have landed in the create screen for sourcing event. In this case, I will need to enter the mandatory fields such as the title. The event type is RFP. Header fields are synced from the project, so it's already pre-filled. Then select the RFP template. On the top of the screen, I see the progress. Scrolling down again, everything is available on one screen. The main menu, as usual in guided sourcing, is located at the top right corner behind the three dots. Here, I can set the event rules. For the sake of the demo, I will enable multi-round bidding, which is unique functionality in guided sourcing. All the other rules can be turned on or off depending on what is needed for the event. Now I'm going to enter the suppliers, the questions, and the line items. So let's start with the line items. Since I created a link to the predecessor project, let me show you how easy it is to actually pull the content from predecessor project to my current project. So I was navigated via a few clicks into the predecessor project, and I'm pulling the content from there. The content is now being copied into my event. This is one option how you can create your event content. Now let's try another way on how to easily create a content for your event using Smart Import. Smart Import is an import of line items, questions, and requirements from an unstructured file. In the top left corner, we see how such a file example looks like. So basically, it's a loose formatted in lines. You see the line item with the name and description quantity and historical price. So I'm going to import that system. I just need to reconfirm what content I wanna import and where I wanna put it. So questions to questions, items to items. And that's all I need. The system has read the file scanned, and if there is something which is unclear, then I need to correct the artificial intelligence-driven upload. But in this case, it's not needed. And voila, the questions and the line items are loaded. So imagine that you have 100 line items and 100 questions. This is probably the easiest way how to get it into your RFP or into your event. Now, the next way I wanted to show you is the recommendations, something which is machine learning-powered functionality in guided sourcing. So depending on the title of my event, categories, and regions, the system gives me recommendations not only for content, but also for participants. From each action, it's also learning. So over time, recommendations are fine-tuned. Now if I go ahead and search for potential bidder and if I go to the bidder name, I click on it. There is a little pop-up which shows me the contextual information, the insight for that particular supplier. So I see there not only the contacts but also what the other sourcing activities this supplier is involved in my organization. It's divided per status. I see also what other, if there are any, agreements in place with this particular supplier and information like qualifications. Like what matrix qualification exists for this supplier? What are the certificates in place with this supplier? And if there are any risk projects linked to this supplier, I can review them. I can also go to the full 360 profile of a supplier to see every information about the supplier organization. Also there is a SAP companion with contextual help. There is also a messenger widget where I can go ahead and I can communicate with internal users but also with suppliers which are organized into logical groups. So basically it's like the WhatsApp application where you start the communication from there and it triggers notification emails to the other party. Guided sourcing awarding is a process within a full sourcing project that involves evaluating supplier bids and selecting the most suitable one based on predefined criteria. This process utilizes advanced tools like SAP Companion for contextual help and machine learning for recommendations, enhancing decision making and efficiency in sourcing events. From the full sourcing project, I will again enter the RFP. The system has started to calculate the award scenarios. I can see here under which scenario, what are my savings? What are my overall costs? And I can review those. I can go ahead and also create manual scenarios. So here we are in the results of an RFP. I see the ranking of the different suppliers per item. I can do the allocation in percentage or quantity. All that can be done manually. Now let me show you a comparison which can be exported into Excel. It's called bid comparison report. There are different options in the report on what I will see in the exported file. I can turn on or off different options. And when I click on the export, the system will generate an Excel file. In the file, you might want to adjust the formatting slightly to see everything nicely. I see the different offers of each supplier per line item. And in Excel, it's easy to compare it. In the main menu, there is the download report section. And here are the different reports which you might recognize from classic sourcing. So let me do a supplier response report export. And this one is the export file, a PDF format. It looks like a little book where you can see the complete offering per supplier. Now let's say I'm not going to do the awarding, but I can also start the new round. This functionality available only in guided sourcing and with few clicks. I can basically say how long it will run and which suppliers will continue and which will not in the new round. The same goes also for line items. I can exclude some from the new round and then simply start it. But if a new round is not desired, I can go ahead and proceed with the awarding as we know it from classic sourcing, where automated messages can be sent to suppliers awarded or not awarded, and you can even customize it from there. We hope that with the help of this video, you now have an understanding of the streamlined capabilities and enhanced functionalities of guided sourcing. From creating projects with ease, importing content through smart import, to utilizing machine learning for recommendations and managing supplier interactions seamlessly, the system offers a comprehensive and efficient sourcing solution.
