Setting up Territory and Quota Users

Objective

After completing this lesson, you will be able to Set up territory and quota users.

Overview of Users

Users are set up in the SAP SuccessFactors Incentive Management Portal and shared with SAP SuccessFactors Territory and Quota. The Incentive Management Portal has two general types of users: Administrator and Internal.

The Administrator is a business user that can create and manage compensation plans and rules; update payee quotas, territories and rates; run compensation calculations and review results; design end-user dashboards; distribute and track plan documents; and model future incentive payouts.

An Internal User is typically a payee, the recipient of payments generated by Incentive Management. A typical payee may be a sales representative, account executive, sales manager, or any other entity who is compensated based on performance. If an Internal User is a payee, the name would most likely be added to Incentive Management or Territory and Quota as a Participant and already set up as a User.

But not all Internal Users are necessarily payees. Other types of Internal Users are administrators of Reporting & Analytics and Proxy users. If these users are not already in the system as Participants, they can be added directly as an Internal User.

Admin users can create additional Admin users with different roles and associated permissions.

Steps

  1. Navigate to AdministrationUser Administration.

  2. In the Users area choose Add Admin User ().

  3. Enter the user details and select the desired Role from the dropdown menu.

  4. Choose Add to create a new admin user and to trigger an e-mail to be sent to the user.

  5. You can now enter additional details for the user, such as Business Units, Roles, and Proxies.

Adding an Internal User

Before an Internal User can be added, the name must be in the application as a Participant. If Incentive Management is being used, it is recommended that all Participants are added and maintained through Incentive Management and then shared with Territory and Quota (there is only one Participant table). But they can also be added directly into Territory and Quota. Adding Participants is covered in Unit 2 of this course.

Steps

  1. Navigate to AdministrationUser Administration.

  2. In the Users area choose Add Internal User().

  3. Choose the Find button. Enter the User ID, the First Name or Last Name and choose Search to find the participant you’re looking to add. Once the name appears in the list, choose the User ID to select their name.

    The name you selected should be entered into the User ID field.

  4. Choose Add to add the Internal User.

  5. You can now enter additional details for the user, such as Business Units, Roles, and Proxies.

Assigning Proxy Users

Proxy users are temporarily granted access to another user account. Once they are assigned to that user account, they have access to everything the original user is able to do except they cannot modify that user’s personal profile.

For example, Becky Smith is the assistant to Carol Jones who is a Vice President. Once Becky is set up as a proxy to Carol, she’ll have access to everything Carol can access (applications, reports, folders).

The same user can be assigned as a proxy user for multiple accounts, and each user can have multiple proxies.

Any user that has access to the User Administration can assign proxy users.

Assign Proxy Users

Steps

  1. Navigate to User AdministrationUsers.

  2. Select a user from Users.

  3. In the Proxy Relationships pane, under the My Proxies area choose Add to open the Add Proxy screen.

  4. Specify the User ID of the intended proxy user.

  5. In the Effective Dates fields, specify the effective dates during which the user can access your data. For example, if you're going on vacation for 3 weeks and you need the proxy user to monitor your data during that time, specify the period of time that you’ll be gone.

  6. In the Data Access fields, specify the effective dates of the data that the user can view when logging into your account.

    For example, if you're going on vacation for 3 weeks but you want your proxy user to see the year-to-date data, specify the start date as the first of the year and the end date the same as the Effective Date end date.

  7. Choose Submit.

Proxying as Another User

Once a user is associated as a proxy, they log into Incentive Management Portal using their own credentials, proxy as the other user by selecting the Proxy tab in the top right corner of the browser window, and selecting the user for which they want to proxy. To exit proxy mode, they would once again go to the Incentive Management Portal, select the same Proxy tab, and select Exit Proxy Mode.
