Linux believes that collaboration is key and it's designed to encourage teamwork and engagement where all relevant stakeholders can contribute to, enrich and validate their data. In the Linux navigation tab, the fifth feature is dedicated to collaboration features. Before we jump into the part where we explain how you can configure your collaboration, let's quickly reflect on what we already know from our level one training. The main value of collaboration is helping enterprise architects populate and maintain data so they are always well-structured and up-to-date, so the organization can generate valuable insights from it. Since different stakeholders are responsible for parts of enterprise architecture, collaboration features are crucial to support you in ensuring data quality in LinearX. The main features of collaboration in LinearX are comment, surveys, subscription roles, quality seals, to-dos and automations. The comments tab is available in all fact sheets, and it lets you communicate, clarify, and propose an update from the responsible stakeholders. Surveys are powerful tools and an automated approach to collecting information from multiple stakeholders simultaneously on selected fact sheets. You can crowdsource data, do quality checks, ask other stakeholders to fill out or create fact sheets, and run regular updates or relevant use cases for your organization. In Level 1, we explained the end-to-end journey of how you can create, design, and run a survey, analyze your data, or respond to it. Moving forward, the quality seal placed at the top of every fact sheet is an indicator of the fact sheet data quality that can be enhanced by filling out the mandatory fields before the quality seal approval. As such, quality seal is a very powerful governance tool that ensures data reliability and accuracy throughout its lifecycle. To-do's can be found on each Facti tab and are a way of organizing tasks in Linux efficiently and automatically. Users can assign to-do's to others and receive and manage their assigned tasks within a centralized inbox. The central hub for to-do's streamlines task management, making it easy for users to stay organized and collaborate efficiently. Combining automations with to-do's provides more advanced use cases than assigning to-do's manually. Automations can create to-dos when specific events occur, such as when a new factory is created. You can find a summary of all your to-dos in the Collaboration tab in the menu of your workspace. When you're on the dashboard, you can make the collaboration features or panels more visible by clicking on Edit Dashboard and then dragging in what you want to see on your dashboard. Collaboration features such as Surveys or To Do's can be easily added as widgets on your dashboard. These and other panels on the home section support you as an enterprise architect or admin of the workspace with an overview of the most recent changes on fact sheets you might be interested in. You get an overview of relevant fact sheets you are subscribed to, the business criticality of all applications, and an overview of the 100 latest updates in the inventory. As mentioned, one of the Linux features supporting collaboration is the comments tab, available on all fact sheets. When you leave a comment on a fact sheet, the responsible person will be notified, which allows you to propose updates or questions without directly changing the fact sheet. You can subscribe to a fact sheet in the subscription section of each fact sheet by entering an email address or name to subscribe yourself or another Linux user to a fact sheet. Available subscription roles are Responsible, Accountable or Observer. Where Responsible actively participates in the content creation of the fact sheet, Observer stays informed of any changes and Accountable presents an optional role in the administration settings. Another important thing to know is that only one Accountable can be subscribed to a fact sheet. Every user with a user rights of an admin or member can add subscriptions and additional roles can be selected depending on the organisational context. When a person still needs to register in Linax, you can invite them by clicking on the plus new person button. However, assigning user rights depends on the user level. You will only be able to assign roles equal to your permissions or fewer permissions. Users can add comments on the fact sheets that could affect enriching your data and maintaining data quality through required quality checks. You can configure and manage quality seals, subscriptions, relations, tag groups, and mandatory fields in the metamodel configuration. We will move to another prominent collaboration feature such as to-dos and automations. We will explore how you can configure them as an admin to collaborate with other uses of LinearX. Additionally, we will cover the Microsoft Teams integration and why this integration plays an important role in collaboration in LinearX.
