Let's continue with how we add the data into Linux. There are multiple ways for you to populate your inventory. You can create each fact sheet manually, or leverage one of the available importing features. It is always recommended to start using the importing feature. Because of this, you can quickly populate the inventory and start generating reports out of them. There are two importing features in Linux. We can use our Excel import or use the SaaS discovery functionality to quickly populate all the applications. The main difference here is that with the Excel import, you curate your data based on the information you already have in your organization. Importing using Excel also allows you to add relationships, such as parents and children, quickly. However, with SAS Discovery, you are able to quickly discover all of your SAS applications. And we will discuss this in more detail in the following lessons. In this lesson, we will create a new fact sheet directly from your workspace. From the Inventory tab, locate and click on the new fact sheet button, found in the right panel of the workspace. This is also represented by a plus or add button. Select the fact sheet type from the dropdown and add the names to the fact sheet. It will be presented with a fact sheet form where you can input the details of your new fact sheet. Fill in the required information, which may include attributes specific to the type of the fact sheet you're creating. Make sure to include essential information, like the fact sheet's name, description, owner, and any relevant tags or classifications. Depending on your use case, you may want to establish relationships between this fact sheet and other existing fact sheets. You can do this using the relationship fields. In this lesson, let's look at how to bring in data into Linux via the Excel import. Begin by navigating to the Inventory tab and click on the application fact sheet filter on the left. Now we can see a list of all fact sheets in our inventory of the type application. Let's change the application list view to the table view by clicking on the table symbol on the top right. Click on the eye icon to select which additional columns you want to display in the table. To keep things simple, let's only add the business criticality and description fields. Click the eye icon again to hide the panel. Now we can see all of our selected fields in the table. From here, let's export this into an Excel file. In the action panel on the right, click on export. A pop-up will appear that tells you what type of fact sheets you are exporting and how many of them. Click export and then click on download. Now you can open the downloaded Excel file from your download folder. This Excel file becomes a template that Linux EAM accepts for importing your data. A couple of pointers here. Please do not change the first two rows. These are critical to our schema and the import will not work properly if you change these. Also make sure that if you're editing an existing fact sheet that you leave the ID and the type fields pre-populated. If you're bringing in a new application, you want to leave the ID field empty. If you hit refresh, we can see that the description attributes for the AC Management Cloud fact sheet has been updated. Another way you could edit the application information is through the inline editing function. So if you click on the edit button, you'll see that our table with data is now editable. I know that business criticality is a single select field, so I will double click it and select one of the options displayed. We will select administrative service. For the description, I can just click on the field and type something in. You can basically work this like an Excel. A survey is an automated way to gather information from several people in one go. It is a way to crowdsource the effort to bring up the data quality you have in Linux EAM. Next question. Why should you use them? Imagine you need to assess the business criticality of all your applications and you want this assessment to be done by the application owners. By sending a survey, you're facilitating this instead of having to send an individual email to all the different application owners. So how do you fill in a survey as a recipient? As mentioned, surveys in Linux EAM play a crucial role in gathering information and assessments from various stakeholders. As a recipient of a survey, your role is to provide valuable input and assessments about the items in question. Upon receiving the survey, you will encounter a set of questions tailored to the specific aspects of a fact sheet, in this case, AC management. Let's explore how you, as the application owner, respond to the survey questions. In this scenario, the survey presents a question about the business criticality of an application. You have the option to adjust the business criticality based on your assessment, choosing between business critical, business operational, or mission critical. Additionally, the survey may ask if you're the appropriate person to provide this assessment. And if not, can you identify the responsible party within your workspace and notify the admin of the workspace? However, in this case, you are indeed the right person to assess the business criticality. After providing your responses, it's time to finalize the survey. Once you finalize the survey, your answers will have a direct impact on the associated fact sheets. Filling out surveys as a recipient in Lineax AM is an essential part of maintaining accurate and up-to-date information about various items. Your responses directly impact the associated fact sheets, ensuring that they reflect the most current assessment and information. So now that we've seen how you fill in the survey as a recipient, let's have a look at how we actually create a survey as an admin. Let's navigate to the Administration section. In the Administration section, proceed to the Advanced Settings section and click on Surveys. Within the Surveys section, Administrators have two primary options. Creating a New Survey from scratch or using a template from the store. In this training, we'll focus on creating a new survey. By selecting the New Survey button, you'll enter a Survey Creation Wizard. The creation wizard provides you with all the necessary tools to design your survey. Let's begin by giving your survey a name. Next, you have the flexibility to insert fields from a fact sheet into your survey. This is a powerful feature, allowing you to gather information from your recipients. For instance, if you want to assess the business criticality, you can select the corresponding fact sheet element. After selecting the fact sheet element, you can provide a question related to it. In this example, we've chosen the business criticality field for assessment. While creating surveys, you can also incorporate basic fields such as text input, number input, or even a single select field. In our scenario, we simply want to document the right stakeholders for this fact sheet. For this, we can insert a fact sheet element. Once you're satisfied with the survey design, proceed by clicking save and next. Now you'll see the run survey section. Here we have the option to choose who will receive our survey. To do this, we can filter which fact sheets and which stakeholders we want to send the survey to. In the subscription roles, we are able to filter, and in here we can see that both observers and responsibilities have been preselected. However, in our case, we only want to send the survey to the application owners. To achieve this, we'll remove the observer selection. To select the recipients, we use this field. There's a choice to send it to either active users, active user and invited users, or all users. In our scenario, we choose to send it only to the active users. As a result, we see in the selection that we have the number of recipients for the fact sheets and scope of the survey. It's recommended to notify those responsible for the assessment before sending out the survey. Now, let's look at the checkboxes provided for configuring the survey settings. The first checkbox is automatically check for changes. This option performs hourly checks for changes and sends an email if additional responses are required. For instance, it alerts recipients if someone new becomes responsible for one of the applications. The second checkbox is send an email on updates. This notifies recipients if fact sheets have been added or removed from the survey. In the language section, you can choose the language in which you want to send your survey invite. Linux ARM offers options in English, German, Spanish, French, and Portuguese. Linux provides a default template for the survey text, but you have the flexibility to customize both the invitation and the email that is sent when new fact sheets are added to the survey. Before sending out the survey, it's always advisable to conduct a test survey. For demonstration purposes, in this demo workspace, we'll proceed to run the actual survey. Once initiated, you can monitor the survey's progress in the status and results tab. You can view responses from recipients and track how many are filled in the survey. Additionally, you can send reminders to recipients who haven't yet responded. If needed, you can finish the survey, preventing further distribution, even if there's changes in the recipients. You can also check for changes manually and delete a survey run. Managing survey recipients and sending surveys in Linux EAM offers a comprehensive and customizable approach to gathering assessments and information from stakeholders. It empowers administrators to track progress, customize messages, and ensure data accuracy within the organization.
