SAP SuccessFactors Integrating Assessment Vendors -- Configure Templates

Hi, and welcome to the series from SAP Partner Engineering. My name is Julie, and in this series of videos, we're going to take a look at another scenario for the recruiting module of SAP SuccessFactors, in this case, for assessment vendors. In the previous video, we took a look at adding our assessment vendor, configuring our assessment vendor package, and setting up our event notification subscription. And in this video, we'll turn our sites to the job requisition area, updating some of the documents. And the first thing we'll look at is a Canada email with the assessment associated with it. So in our admin tools, this time we're going to use the manage recruiting email template tool. So once we choose the email templates, we have a list of the various email templates that are available in the system. Some of these are defaults or standards that are created. You're certainly welcome to create your own. I'm just going to modify an existing one. So I'm going to scroll down and I'm going to find D6 for the assessment details needed. So this gives me the email to send to the candidate showing that there's some additional information we need. What we want to do is we want to go ahead and add a couple additional tokens to this email. So we're going to scroll down and find the correct syntax for those tokens and towards the bottom here, we're going to find the application assessment package tokens. There's two of them here, and what we want to do is we want to simply make sure that we add those to our email template so we can either add those manually or we can just copy and paste here from the token list and put them back into the email. So that's what I'll do and I've just hidden the tokens again and I'll go back into the email and add in a sentence and Dump that into my email. So now it shows yellow, which means that it's actually connecting and it recognizes that token, so I can go ahead and save the changes. Obviously, I could reformat the email and add a lot more information to it, but we want to just make sure that we have the tokens and that they come back highlighted, which shows that they are actually valid for our email template. So once we've made our changes, we can go ahead and scroll down and click Save Changes, and then we should see the message up at the top that says our updates have been successful. So now our email template is ready for the assessment. So the next thing we want to do is we want to go ahead, modify or create a job requisition template that includes our assessment checks in it. Now, in order to do that, I need to be logged in with a user that has permission to modify, create, add, delete the recruiting template or the job requisition template. Right now I'm logged in as my administrator. Now what I could do is I could use this proxy now, which actually is a very powerful tool that allows me to proxy in as if I'm a different user. And so in this demo system, we have Tessa Walker set up, who actually does have the permissions to modify the job requisition template, so I can proxy in as her and now you see that I'm I have permissions to be able to do things. Now I'm going to go back and become myself again, and I'll show you if you don't want to do the proxy now how to actually modify the user settings and what things you need in order to have the the roles and permissions for modifying the job requisition template. And if I wanted to see what permissions my user had, I could simply use my admin tools and do view user permission. And then I can put in SF admin. And search and I can see the permissions for the admin user. Click View Permissions, then we can see the full list. And if I scroll down to the recruiting area. And we're looking for three specific ones. Hide Copy Existing Job Requisition, Hide Browse Families and Roles, and Hide Create New Job Requisition. These three permissions, regardless of the role the user belongs to, actually disallow you from creating a job requisition. So to allow our changes to our job acquisition template, we'll need to modify that role. So let's close down that, come back to the admin center, do manage permissions and roles. Search for our PCC Underscore Payroll Underscore Admin role. Go ahead to click and open that role. Go to permissions. And in the recruiting permissions. We want to uncheck those three. And then we could go ahead and say done and save our changes. And now we've updated that role so any user that has assigned that role now has the capability to do the job requisition changes. So our next step is to go ahead and modify or create a job requisition template that has the assessment as part of it. Now, in the download of sample files from SAP SuccessFactors jam site, there was a sample template that you can use as a job requisition that already has the assessment added to it. So if you wanted to go ahead and use that template, come into your Provisioning tool, go to Manage Recruiting, and click on the Import Update or Export the Job Requisition Template. And then if it's a standard requisition template, or you want to create a new one, you can either download an existing one, or you can go ahead and choose the file that came with the sample and use the upload process here to go ahead and just upload that template. So if you're modifying the existing template, it's a good idea to download it, make a copy of it just as a backup, then you can modify it and use the upload to send it back. Now, if you choose to use the sample template, one thing we'll notice, let's go ahead and open this up here, is there is a field called a hard stop status, and this is a special use case that we've added for, if your customer requires that an assessment is done before a candidate moves through the process, or is evaluated, or if your software requires that an assessment be completed. Now you can have this field in the template and not use it, or you can decide to go ahead and set that up in your job requisition. And for more information on the hard stop status, if you go to help.sap.com and you search for hard stop status, you'll see that there's a blog or a post here that talks about the hard stop status for the assessment integration. I'm integration to more information there if you need it. So that's if you want to use the sample template if we're going to go ahead and use the creator template that let's go back to our admin center and choose to go to the recruiting module. And from our Job Requisitions tab, we'll go ahead and create new. And then we'll do a standard job requisition. Now we can choose to copy an existing one. We can browse families and roles, which is what we're going to walk through next, where we're actually setting up a requisition based on a job role. Or we can create a new one from a blank template. So let's go ahead and browse the families and roles and see what that does. And now what we can do is we can select a job family. So let's do Human Resources. And then we have HR Professional. And here's our job code for that. And our basic template for our job description and text. So if we want to go ahead and select that, we can select that. So depending on your configuration, you may see just the recruiter or you can see the recruiter and the hiring manager. So you can fill those in. Remember we had our recruiter as Tessa Walker, so we're going to go ahead and leave that. But let's put in our hiring manager as Jeff Hill. So we'll select him and click next. Here we have our requisition basic template that we can fill in and start to update. So we have our HR professional job that we picked. We want to make sure that we're going to choose and fill in any of the fields that have a red asterisk on them, because those are required. And then down towards the bottom here, we'll see the information about the assessment. And if you click on this, add more assessments, that will give us our drop down fields. First, we're going to choose what status change or event we want to have to trigger this assessment. We'll choose a new application. Our vendor was our first advantage. The assessment package we're going to use is the tax package that we loaded earlier. And then we want to associate the email template with that D6 template that we updated. And if we wanted to add another assessment, we just click on the add more assessments again, define the stages, define the packages, and choose the email template. If we had set the hard stop status in our requisition template to true, then we would have a drop down field here where we could indicate where we wanted to apply that hard stop status. But since we left it as false, we'll just continue on with our assessment and create our requisition. Here we are in the workflow for creating the requisition through the various approvers. So we can send a note to the first person here in Maya Cooper. We can create the requisition. Then what we want to do is we'll go ahead and log in as Maya Cooper so that we can then forward it to the next stage, et cetera. And we can use that proxy now setting to be able to log in as the different people to take it through the approval process. We're logged in as Maya. We see here we have a recruiting approval. We can go ahead and open that up, and we can take action and approve. And so now it's going to send to our recruiter, who's Tessa Walker, have the ability to go ahead and add some comments for the email that sends to Tessa for this next approval in the workflow and become ourself as the administrator. And then we can proxy in as Tessa. And here we see on Tessa's dashboard, we have a recruiting approval. We can go ahead and click on that. And here we see review and finalize the job requisition that we just created. And here we see our job requisition for HR professional. If we scroll down to the bottom, we see our assessment has been added. So we can just click complete or go up to the top and choose take action and complete. And we can go ahead and click complete again to finish the transaction. And if we scroll to the bottom, we can see our requisition that we just created. Okay, and then the last step for Tessa as the recruiter is to go ahead and post the job. Now in this example, we have automatic posting setup. So here we see both the internal and the external links for that. Now if we wanted to take the optional step of testing our job requisition, what we can do is make sure that we're logged in as the administrator. Let's go ahead and go back to the Admin Center and let's do manage recruiting sites and we'll click on the default site here and choose edit and then here is going to be the URL for the external site. So if I wanted to test that, let's just go and create, open an incognito window. And then we can paste in that URL. And if we click on search jobs, we should be able to see the job that we just posted. Now, if we're going to apply to the job, we'll need to log in. Okay, so we've gone ahead and signed in, and now we just want to update real quickly here, anything with an asterisk. So let me go ahead and upload a resume file. We'll fill in the contact information and then our citizenship status and click apply. And then if we go ahead and look at our profile, we can see under the jobs applied, we see the application that we just entered and it has a status of complete assessment. It provides the applicant the link to the tax package. And the other thing that we can double check was that the email was created from our email template based on the status change of the application being submitted by the candidate. So a quick recap. In this video, we took a look at configuring the job requisition template and the candidate email to have a link for the assessment vendor package.
