The initial upload of Fact Sheets to SAP LeanIX holds great significance as it lays the foundation for effective usage and accurate data management. Ensuring that Fact Sheets are populated and their Subscribers are defined is fundamental to achieving success with SAP LeanIX. Adhering to this best practice recommendation provides a solid foundation for data-driven decision-making across the organization.
Before you are ready to conduct your initial data upload, let's discover the three different ways to getting data into your workspace by viewing the two videos below:
- Excel Export & Import
Importing and exporting your data often provides a shortcut to adding or editing bulk information within your workspace. This article shows you how to import and export data to create, edit or delete information or archive entire Fact Sheets using the Excel Export/Import function.
- Inline (Bulk) Editing
The Inline Editing allows you to edit multiple Fact Sheets of the same type directly within your workspace at once.

You can navigate to the inline editing via table view: Inventory → Fact Sheet Type → table view → select columns → Edit → Save:
- SAAS Discovery
SaaS discovery identifies your organization's Software as a Service (SaaS) applications through integrations with third-party systems like Single-Sign-on (SSO), Secure Access Simplified (SASE), and Cloud Access Security Broker (CASB) solutions. Once a new SaaS application is discovered, you can:
- Automatically or manually link the discovered SaaS application to existing application fact sheets or create new fact sheets and link them to the catalog item
- Enrich existing or newly created fact sheets by automatically linking the discovered SaaS to the reference catalog
- SAP Landscape Discovery
The SAP landscape discovery feature in SAP LeanIX provides an automated method for gathering data about your organization's SAP systems and services directly from SAP. It helps you gain a comprehensive view of your as-is SAP landscape, reducing manual efforts, eliminating blindspots, and improving data quality about your SAP systems in use today. This accelerates the discovery and exploration phases for ERP transformations and enables a smoother, more automated update of the application landscape as it changes.
- Inventory Builder
Inventory builder uses AI to analyze diagrams and images to automatically extract relevant architectural elements. The analysis discovers appropriate fact sheets and their relationships, which you can review and create corresponding fact sheets to accelerate your inventory-building process.

How-to: SAP Inventory Builder
This how-to video video guides you through the SAP LeanIX Inventory Builder, explaining how to use it. It covers the pre-analysis process, manual adjustments, and how to refine AI-generated results using text prompts. Learn how to review discovered relations, manage the Inbox as a staging area, and confirm fact sheets before adding them to the inventory.
- Reference Catalog
The reference catalog provides industry-specific business capabilities for import. When catalog items are imported, corresponding business capability fact sheets are automatically created in your workspace and linked to the catalog. If a fact sheet with the same name already exists, the name and description are overwritten from the catalog. Instead of importing, you can also just link your existing business capability fact sheets to the relevant catalog items. This action does not overwrite any data.
