How to Publish

Before you Publish, check in with the Project Lead or WalkMe contact that WalkMe is deployed (Snippet or Extension). Learn more about Deployment Methods here.

If we are ready to Publish, follow the steps below:

If you are ready to Publish, follow the steps below:

  1. Select the specific items you wish to Publish.
  2. Click the Publish button.
  3. Select the Environment you wish to Publish too.
  4. Select if you would like to Publish Global Settings.
  5. Click the Publish to Environment button.
  6. You will see a progress bar and will be prompted with a success message once the item(s) has been Published.

Note

When attempting to view your Published content, be sure to close your Editor and refresh your page.

Publishing Environments

Selecting the Right Environment for Publishing

Out of box, you have the option to Publish to either Test or Production.

When you Publish an item to the Test Environment, those Published items are only available to users that have the Test Snippet running in their browsers.

Note

The Snippet is different for Test and Production. This ensures the wrong content is never shown in the wrong Environment.

Publish Status Icons

Each item has a different icon color that denotes its current Publish status. These statuses change when switching between different Environments as some items may be Published in one Environment, while not yet Published in another.

To Publish changes to the settings, follow the steps below:

  • Click the Settings icon in the WalkMe Editor

  • In the drop down choose System Settings

  • Click Publish Settings

  • Select the desired Environment

  • Click Publish To ‘Selected Environment’ .

Note

It is not possible to only Publish different settings individually.

Now that you're familiar with the Publishing process, lets look at Archiving & Deleting.

Archiving and Deleting

Archiving WalkMe Items

To unpublish a WalkMe Item from an environment, you must Archive it. Archiving a WalkMe item does not delete the item, it simply removes it from the previously Published Environment.

Then, it will no longer be available to users. You can still edit content in WalkMe Editor or make changes if you want to re-publish later on.

How to Archive:

  • Select all items you wish to Archive.

  • Click the icon with 3 dots in the bottom right of the WalkMe Editor.

  • Click Archive.

Confirming your Archive

Once the Archive button is clicked, that is when WalkMe completes the unpublish action. You will see a progress bar and will be prompted with a success message once the item has been Archived.

Deleting WalkMe Items

Deleting WalkMe items is similar to Archiving, but this will completely remove WalkMe items from the WalkMe Editor. You will no longer have access to this content anywhere.

How to Delete:

  • Select the item(s) to be Deleted.

  • Click the icon with 3 dots in the bottom right of the WalkMe Editor.

  • Click Delete.

Confirming Deletion

Once the Delete button is clicked, you will be prompted with a progress and confirmation dialog.

Note

Data captured on Archived or Deleted content is still readable via WalkMe Analytics for up to one year.

Content Manager Overview

The Content Manager simplifies the management of WalkMe content by providing a modern interface, project management and collaboration tools, and deep links into the Editor. It's located in the WalkMe Console.

The tool provides a holistic view of WalkMe content and supports several key capabilities listed below.

Folder Management

Organize and manage your content efficiently using customizable folders for easy navigation and structure.

Manage Views

Using the Manage Column feature, view all items via one dashboard along with the data points relevant to your team.

Bulk Actions

Perform bulk actions on multiple items at once such as:

  • Assign to Segment

  • Move to folder

  • Publish

  • Archive

  • Add to view

  • ...and more!

Advanced Filtering

Use advanced filters to quickly locate and analyze content based on criteria like app type, status, Segment, and creator.

Create Custom Views

Personalize your workspace by creating and saving custom views via the filtering and sorting capabilities.

Collaborate

Collaborate with colleagues by using commenting and notes functionality so all stakeholders are aligned on project updates.

Notes carry over from the Editor and vice versa.

Note

If you've worked with Grid View in the past, Content Manager is the updated, enhanced version of this with even more capabilities.

Once you've customized your data view, you can easily export the content to a CSV file for offline analysis or sharing.

How to Access Content Manager

Content Manager lives in the WalkMe Console. You can get there two ways:

  • Click here to navigate directly to the WalkMe console.
  • Use the Apps dropdown in the Editor to access Content Manager.

Content Manager: Personalize and Preview

In this section, lets dive a bit further into two key areas of the Content Manager

  • Create Custom View
  • Individual Item Views

Create Custom Views

Users can personalize their workspace by creating and saving custom views of data. This includes column configurations, filters, and sorting preferences.

This streamlines content management by not having to recreate views that you find yourself visiting time and time again. Revisit saved views on the left-hand side of the page.

Create New View

Follow these steps to create a new view:

  • Filter your items.
  • Click Save View at the top right of the page. A Save View popup appears.
  • Enter the view name and description.
  • The filters and sorting options for the view are displayed.
  • Click Save View.

This feature is dynamic. Any new items matching the applied filters will automatically appear in the view, and archived items will be removed.

Users can also add items - or multiple items at a time - to new or existing views. To do this, select the items you'd like to add, click the eye icon, and select which view to add them to!

In Content Manager, you can click on any specific item, and a panel will pop out from the right-hand side of the page revealing the Preview & Insights, Conversations, and Version History tabs.

Preview and Insights

In the Preview & Insights tab, you can perform a few tasks:

  • Preview a screenshot of the item. For a Smart Walk-Thru, there will be the images of the whole play sequence. Shuttles, Resources (videos and articles), and Onboarding Tasks don’t have a preview.

  • View Insights data for the past 30 days.

  • View any Stories(opens in a new tab) related to the item.

Conversation

The Conversation tab is where you can collaborate with coworkers on an item.

View comments or tag any user in the account to address them directly. When a user is tagged, they will receive an email notification.

Version History
Version History is pretty straightforward. See the action history of an item. Utilize features like preview slides and conversation threads to visualize content and facilitate team collaboration directly within the platform.

Summary

Previewing and Publishing Content
  • Environments are basically different versions of a website where development teams can explore, iterate, and maintain new features and functions before launching to the main platform. The primarily used Environments are two: Test for exploring features and functionalities before launching to end users and Production to showcase and launch new features and functionalities to live end users.
  • Previewing allows to view WalkMe content from the perspective of a real user. There are multiple Preview options allow to view WalkMe content quickly; however, Quick Preview is the most common and quickest way to simulate WalkMe content.
  • Publishing allows to push items that you create in the WalkMe Editor to different Environments.
  • To remove a WalkMe item from an Environment, you must Archive it. Archiving a WalkMe item removes it from the platform so it is no longer available to users.
