Setting Project Groups

Objective

After completing this lesson, you will be able to organize project groups and team members within project templates

Organizing Template Groups and Members

You can use project groups to confer specific roles and permissions in projects, such as access, task ownership, or approval responsibilities. Adding team members to project groups in the template standardizes those roles and permissions for all projects created from the template.

You add project groups and team members to a project template in one of four ways, depending on the type of project and whether you want the membership to be static or dynamic:

  1. By manually adding project groups on the template’s Team tab.
    1. The groups you add in a template are added to every project created from the template. You add project groups on a template’s Team tab as you would add groups to a project.
    2. You can specify if project owners can edit a project group in projects created from the template by setting the Can owner edit this Project Group field.
    3. Add individual users or entire user groups to project groups directly in the project template.
    4. In projects that support buyer category assignments (the user matrix), you can set the Use commodity and region assignments field to specify that project group members are added dynamically based on assignment. This option is only available in supplier management projects.
  2. By creating team member rules.
    1. Team member rules dynamically add groups or individual users to a project based on the values supplied during project creation.
    2. They're not supported in supplier management projects, control-based engagement risk assessment projects, or issue management projects.
  3. By defining buyer category assignments (the user matrix).
    1. Buyer category assignments dynamically add individual users to project groups based on a project's commodities, regions, and departments.
    2. They're only supported in supplier management projects, and aren't supported in modular questionnaire projects created by sending assessments in engagement risk assessment projects.
  4. By using the /projects/{projectId}/teams endpoint.
    1. This endpoint allows you to retrieve and modify project team members.
    2. You can add team members as approvers in supplier management projects such as supplier request, supplier registration, supplier qualification, and modular questionnaire.

Summary

  • Standardize roles and permissions using project groups in templates to streamline project management processes.
  • Add team members to project templates manually or dynamically, depending on project type and desired membership flexibility.
  • Template Administrators determine if project owners can edit the project group.
  • Template groups do not require roles or set members.
