Accessing Contingent Transactional Functions in SAP Fieldglass

Objective

After completing this lesson, you will be able to navigate and access the transactional items in the Contingent Labor menu in SAP Fieldglass.

The Contingent Labor Menu

The functions and transactional items available through the Contingent menu depend on the configuration of the tenant. The five illustrated here represent all that are available:

  • (Contingent) Dashboard
  • Job Posting
  • Job Seeker
  • Shift Manager Dashboard
  • Shift Positions

(Contingent) Dashboard

The Contingent Dashboard offers a centralized, real-time view of all contingent workforce activity, enabling quick access to key metrics, transactions, and statuses. It consolidates information such as job postings, work orders, time and expense approvals, and upcoming assignment end dates. This visibility helps managers and program offices monitor progress, address bottlenecks, and make informed decisions for efficient contingent labor management.

Anatomy of the Dashboard

The Contingent Dashboard shows all of the job postings available to the user. It is not unlike the Job Posting List Page except instead of indicating the details of each job posting in a list, it instead shows the activities performed on or required of an individual job posting.

2The job postings are listed to the left of the page. Selecting a job posting will show the details on the right.
3The details of the job posting include a header that is identical to the header when looking at the full job posting, including progress, status and ID, as well as an actions menu that allow you to withdraw, edit, copy, and close the posting, among other actions.
4Below the posting header are cards that display statistics of the various actions that have been performed on the posting, as well as some actions yet to be performed. The data cards shown for an individual job posting are driven by various factors and inputs, so each posting may show different cards and statistics.

Job Posting

The Job Posting menu item loads the Job Postings List Page, which is a list of job postings available within a certain period, regardless of status.

The option to create a new job posting is also available in the upper left corner of the page.

List Page Header

The fields available in the Header of the List page are the same across all Contingent list pages:

1The Period fields default to a certain time span based on when the page is accesses. Both the start and end dates can be changed to list job postings within other time spans.
2The View field can be used to sort job postings by the user's ownership status: All: List will show all job postings My Group: List will show items that qualify for My Own access as well as items to which the user is associated. Users are associated to documents using the Associate User option on the Action menu of a document. My Own: List will show only those job postings that they are either the Owner, Creator, Coordinator, or Distributor of.
3The Group By field will display job postings according to certain master data criteria, such as Status, Site, Business Unit, Labor Type, and Distributor, among others.

List Columns

4The ID column lists the job postings by their assigned document IDs and are displayed as links which, when selected, will open the selected job posting’s Details Page.
5The Available column indicates the number of job seekers who were added to the posting by the supplier. The numbers listed here are links and, when selected, will directly load the Job Seekers tab of the associated job posting.

Job Seeker

The Job Seeker menu item loads the Job Seekers List Page, which is a list of job seekers in various stages of engagement.

The listed job seekers show current status, ID (which are links to the details pages of SOWs themselves), name, supplier, primary contact, site, main document ID, (which is a link to the job posting the candidate was submitted to), the date the job seeker was submitted, the worker type, and if there is a resume attached (if attached, the column includes options to download or view the resume).

List Columns

1The ID column lists the job candidate by their assigned worker IDs and are displayed as links which, when selected, will open the selected job seeker's Details Page.
2Type lists how the worker is being engaged, such as a temp (contingent) worker, and SOW Worker, or if the record is for equipment rather than for a worker.
3The Resume / CV column indicates whether there is a resume attached for the job seekers. If attached, the column includes options to download or view the resume.

Shift Manager Dashboard

Shift Manager allows customers with high-volume hiring and/or day-to-day schedule changes to hire contingent workers for particular shifts. Each shift can be valid for one or more days of the week, have specific start and end times, and have specific rates associated.

With Shift Manager, job postings become living documents so buyer users can make rapid changes to shift positions. For example, customers in the healthcare industry might need to schedule many nurses to cover a variety of shifts throughout the day and week. Because rates are required when using shifts, this feature is able to leverage complex pay and bill rules and customize the rates used on each shift.

The Shift Manager Dashboard provides a list of all job postings that have Shift Manager enabled and are in Submitted status. It provides managers with a centralized, real-time view of shift-related information for contingent workers. It enables quick monitoring and management of worker schedules, attendance, and shift coverage. Users can view open, assigned, and completed shifts; identify gaps; and take immediate action to fill or adjust assignments. The dashboard streamlines shift oversight by consolidating key operational data into a single interface,

Immediately to the right of those columns is a a weekly calendar, which indicates the status of the shifts assigned to a given week. Above the list are three fields that allow advanced search filters based on Sites, Business Units, and Cost Centers.

The dashboard displays shift data per week, with the list defaulting to the current week.

1The Date field allows you to find a particular date to review shifts.
2The Advanced Filters allow you to filter to shifts based on Sites, Business Units, and Cost Center, or a combination thereof. All values for each are selected by default, but selecting the Selected Values radio button and then using the Select link to choose values can help you narrow your search.
3Template indicates the template that was used to create the job posting. This template has Shift Manager enabled, which is what allow shifts to be added to the job posting.
4Job Posting lists the job posting in which shifts have been added. They are selectable links that allow you to see the shift details for that posting.
5Shift lists the shifts that were selected for the job posting.
6The Weekly Calendar provides an overview of the shifts for a given week. Days displayed as green indicate that the shift has been filled. Gray indicates that job seekers are available to fill the shifts. Red indicates that job seekers are not available for the shift.

Shift Positions

The Shift Positions feature provides a structured list and dashboard enabling buyers and suppliers to manage individual work shifts associated with job postings. It allows users to track, assign, and remove shift assignments throughout the lifecycle of a posting. As shifts are adjusted, related work orders update automatically to reflect current staffing status, ensuring real-time accuracy and operational control.

1The Shift column indicates what shift was assigned to a given date. In this case, the default date is indicated.
2The Shift Position Date column lists the date of the given position. Each specific date for which the job posting requires a shift is listed separately.
3The Start Time and End Time columns indicate the start and end, respectively, of each listed shift.
4The Requested, Open, Available, and Assigned columns indicate the number of workers who have been requested, are available, and have been assigned to each listed shift. The Open column indicates if a shift has not been filled.

Summary

Contingent transactional functions are available through the Contingent menu. The functions available depend on the configuration of the tenant.
