Reviewing a Job Posting

Objective

After completing this lesson, you will be able to navigate and review a completed Job Posting, including checking its status and tracking the progress of the contingent process.

Anatomy of a Job Posting

After completing a job posting, creators are presented with a summary of the posting. However, the page offers more than just that summary; users with appropriate permission to access that job posting can review all of the details and even perform some limited actions. The SAP Fieldglass interface for job postings uses a mix of tabs, menus, and a static header that presents a thumbnail overview of the status, helping users track the posting effectively.

Header

The header section of a job posting presents thumbnail information about the job posting, such as the Job Posting ID and its progress through the workflow. It also has a menu of actions that can be taken on it, as well as tabs that will allow users to review the specific information of the posting.

This portion of the job posting is persistent—it will appear no matter what tab is selected.

2The Progress Indicator provides a quick visual representation of where in the buyer's configured workflow the job posting is. When it is selected, it can provide additional details on each stage of the process.
3The Status field also reflects the stage of the job posting, indicating the specific stage it's at in the contingent procurement process.
4The Next Step field indicates the stage that follows the current status. If the job posting has reached the conclusion of it's workflow, or has been paused or closed, this field will no longer appear.
5Selecting a Tab will present the specific information indicated by the selected tab.

Progress Indicator

The Progress Indicator provides a visual reference of the position of the job posting within the contingent procurement process. Each circle indicates one of high-level stages of the process:

  • Request
  • Review
  • Assign
  • Onboard

You can select the Progress Indicator to open a small dropdown menu containing more details of each stage.

The dropdown will list the steps under the four stages and display the progress of those stages using the same dots as in the Progress Indicator on the Header. In some cases, additional information may be included, such as a link to the Approval Group Routing next to the Approvers item, or the indication within the supplier distribution items that 2 suppliers have responded.

Tabs

In order to make a job posting more accessible, details are presented according to the type of data that needs to be reviewed. The header of the posting contains tab that, when selected, display that specific data for easy review.

Job SeekersA list of the job seekers who have been submitted for the position, including thumbnail information on each. When job seekers have been submitted, the number of submissions will be indicated in parenthesis next to the tab title.
Rate DetailsA deeper dive into the rates determined for the job posting.
RulesA list of the rules associated to the job posting indicating whether they are active or not.
DistributionA list of the suppliers the job posting has been distributed to. Depending on the user permission, the names of the suppliers may be redacted, so only the number of suppliers that have received the posting may be indicated.
Supplier RatesA breakdown of the rates for the position by supplier.
Approvals/Audit TrailA detailed list of the approval trail, indicating the status of each listed item in the approval process.
RelatedAdditional information related to the job posting, such as any attachments or any associated users.

Actions Menu

Depending on a user's permissions, certain actions can be performed on the job posting, such as editing, copying, and closing.

The actions available are dependent upon the user's permissions, so not all of the actions listed below may appear in the Actions menu. The image below, for example, shows only those actions available to that user.

Job Posting Statuses

A job posting can go through several steps during the approval process, including halting or rejecting a posting before it even gets to the approval stage!

The stage a posting is within the approval process is reflected in the Status field on the job posting Header, but also on the Job Posting List Page. Statuses reflect the various stages of the job posting lifecycle. However, depending on the organization's configuration settings, not all statuses will apply to every posting. Companies reflect many different statuses for their job postings depending upon their workflow configuration choices.

2Submitted: Job Posting has been submitted to supplier(s)
3Pending Approval: Job Posting was created and is awaiting approval by the buyer's approver(s).
4Draft: Job Posting was started but saved by the buyer to be completed later.
5Withdrawn: The Job Posting has been withdrawn by the buyer and is no longer active.
6Rejected: Buyer rejected the Job Posting during the approval process.
7Halted: Buyer halted the Job Posting. Suppliers can no longer submit job seekers to job postings in halted status.

Edit Job PostingReview the job posting information, make any needed changes, and submit or save the job posting as a draft
CopyCreate a new job posting using the same template used to create the selected job posting.
Close Job PostingUsed if the job posting is no longer valid or is being cancelled. You may also decide to have all job postings automatically closed by the system after the job posting has been filled. When you close a job posting, you're required to select a reason.
WithdrawWithdraw a job posting that is in the approval process. Depending on the configuration, a notification may be distributed to all approvers in the current level and to the job posting owner stating the withdrawal reason.
HaltWhen in the process of reviewing final candidates, prevent suppliers from submitting more candidates. The Resume action displays when a job posting is in Halt status.
RedistributeRedistribute the job posting to suppliers.
RemoveRemove job postings that are in Draft status.
Associate UserNegotiating the rate of a job seeker with the supplier by chatting with them using an instant messaging app built into the job posting.
Start NegotiationsChange the owner or coordinator for the job posting.
Pause Time to FillPause a job posting to pause its time to fill counter while continuing its workflow. You can use this in a situation where the approval or distribution of your job posting is delayed. The suppliers cannot submit the job seekers while the job posting is paused.

Status Definitions

Approval PausedUser roles or system roles defined in approval group have no users assigned to them, or the user assigned does not have appropriate permissions to act on work item. Buyer must assign users to these roles and restart the approval process.
ClosedJob Posting was closed. Suppliers cannot submit new job seekers against it. Buyer can still complete the work order process for those job seekers selected for hire.
Declined (Supplier)Supplier declined the Job Posting. Declined status is only displayed for the supplier and not buyer.
DeletedJob Posting was deleted. This action can only be performed by SAP Fieldglass Support Team.
DraftJob Posting was started but saved by the buyer to be completed later.
HaltedBuyer halted the Job Posting. Suppliers can no longer submit job seekers to job postings in halted status.
Pending ApprovalJob Posting was created and is awaiting approval by the buyer's approver, or approvers.
Pending DistributionJob Posting was created and is awaiting distribution to supplier(s).
RejectedBuyer rejected the Job Posting during the approval process.
SubmittedJob Posting has been submitted to supplier(s)
WithdrawnJob Posting was withdrawn from submission by buyer.
