Managing SOW Workers

Objective

After completing this lesson, you will be able to onboard workers by marking Activity Items as complete in SAP Fieldglass.

Onboarding Workers

When an SOW Worker is added and approved in the application, organizations like WorkingNet have the option to initiate activity items for onboarding purposes. We often see this functionality used within the Contingent module, but it can be used for SOW Workers as well.

Activity Items are assigned to users who must complete specific tasks as part of an organization's procurement workflow, such as access or equipment requests, obtaining signatures, evaluating workers or suppliers, completing questionnaires, or reviewing SOW Bids.

Complete a Worker Onboarding Activity Item on the SOW

For WorkingNet, Darius reviews the Sow Workers that Kiri submitted to the project and then approves them. Since he enabled the Auto Activate functionality for these workers, they should now automatically receive the invitation to register with SAP Fieldglass and create their login credentials.

This action also kicks off the requirement of any potential Worker Onboarding Activities that WorkingNet has configured.

There are tasks WorkingNet requires before an SOW Worker begins work on the project. Some onboarding items are completed by the SOW Worker themselves and some are sent to their suppliers. In this lesson, we will see how Kiri reviews the activity items assigned to new SOW Worker, Jamie Turner, and learn how he marks Jamie's assigned activities as completed.

Summary

After a Statement of Work (SOW) is fully approved, suppliers can add workers to designated roles.

Key Points:

  • SOW Worker Addition: Suppliers can add workers to SOW roles after the SOW is approved, either during Supplier Acceptance or later as needed.
  • Worker Details Entry: Suppliers select the worker role, add worker details, and set dates for the assignment in SAP Fieldglass.
  • Onboarding Activities: Companies can initiate onboarding activity items for new SOW Workers, involving tasks like equipment requests or evaluations.
  • Activity Item Completion: Workers or suppliers mark onboarding tasks as complete once requirements are met, using SAP Fieldglass.
  • Auto Activation & Notification: Enabling Auto Activate sends registration invitations and initiates onboarding activities automatically.
