Selecting the SOW Classification, Supplier, and Template

Objective

After completing this lesson, you will be able to select the Classification, Supplier, and SOW Template to begin the process of creating a statement of work in SAP Fieldglass.

The SOW Setup

There are multiple steps to the Statement of Work creation process, the first step is the Setup.

The SOW Setup page is divided into three initial selections that a buyer makes to establish the foundation of the agreement:

  1. the statement of work's Classification
  2. the Supplier
  3. the SOW Template that it should be created from

Classification

First, a Classification is selected, which determines what suppliers and SOW templates are available for use.

Classifications allow organizations to align particular suppliers to specific SOW Templates, so that when an SOW is created for, say, an IT project, only the suppliers who are approved to provide IT services are considered for the project.

Supplier

Once a classification is selected, the list of suppliers associated to the classification is presented.

Template

Finally, when the supplier is identified, the list of templates the supplier is associated to is displayed.

SOW Templates are used along with Classifications and SOW Types to standardize the SOW creation process.

SOW Templates contain the default values and information that automatically populate when an SOW is created. When a user creates an SOW, the SOW Template they initially select automatically populates much of the information for them. This simplifies the process of creating SOWs and reduces the amount of time it takes for a hiring manager to submit a new statement of work.

Joule Offering for Services Procurement

As part of continued development of generative AI services and offerings, SAP Fieldglass allows customers to optimize the standard services procurement "initiate", or creation phase, with further automation and increased efficiency. For customers who have enabled the Joule Co-Pilot in their tenants, they can leverage the assistant to discuss their service requirements, immediately receiving SOW Template recommendations as well as the auto-population of some key fields, which helps them save time, reduce manual errors, and streamline their operational processes.

SOW Creation with SAP Document AI

SAP Fieldglass now leverages SAP Document AI and Generative AI to automate statement of work creation using information extraction from uploaded documents. This combined AI approach parses the source files, identifies relevant content such as deliverables, milestones and SOW Worker Roles, and generates a structured, accurate draft statement of work, reducing manual effort while improving data consistency and completeness.

To leverage this premium AI feature, an organization must have the following company configurations enabled:

  1. Rates 2.0
  2. SOW Event Hierarchy, of which the Statement of Work being created by Document AI must also follow.
  3. Populate statement of work fields using AI, also defined at the SOW Type and Template level.

Once all elements are in place, users with the appropriate user role permission can select the Upload Document Workflow when creating an SOW in SAP Fieldglass. To get started with this feature, contact your SAP Fieldglass representative.

Start Creating a Statement of Work

WorkingNet Networking, Inc., a global manufacturer of data networking equipment, is building several new distribution centers in several countries, while simultaneously implementing new logistics software and processes.

Their first new distribution center is being built in the US, in a suburb of Atlanta, Georgia, so WorkingNet will use the new Atlanta hub as their base of operations. Darius, the Logistics Manager for WorkingNet, is overseeing the project.

Darius has engaged CarryAll Consulting, a logistics design and implementation firm, to help streamline their logistics processes as well as implement the new software.

Together they determine that the project will take six months—from January 1st through June 30th—and will be budgeted at 300,000 USD. A payment of 75,000 will be made at 50% completion, and 100,000 will be paid at completion.

The project also requires SOW Workers which includes a project manager overseeing a team of five implementation consultants. The project manager's hours will be tracked and billed at 125 USD per hour and the consultants at 100 per hour.

In order to engage CarryAll, Darius will use SAP Fieldglass to create the statement of work. Follow along as he begins creating the statement of work. He'll start by selecting the appropriate SOW template and supplier.
