Clients may work with recruiting agencies that are used to source and submit applicants for certain jobs. An admin may set up new agencies and agency users who can then log in through the agency portal.
Enabling the agency feature provides a separate portal for external recruiting agencies, which allows external agencies and recruiters to create and see their candidates, view job requisitions open for agency access, and forward candidates to specific job requisitions.
An agency can include the following:
- An administrator can set up multiple agencies, and each agency can contain multiple users.
- The recruiting admin can switch between various agencies by clicking the Agency ID dropdown list with the agencies appearing alphabetically within the list.
- Recruiting users with permissions to manage agencies have access to all agencies. Agency users cannot be given permissions to access only a subset of agencies.
- Agency users can only see jobs that have been posted to their agency.
- When an agency submits a candidate to your talent pipeline, the candidate is shown in the Forwarded Status until they formally apply.

Set Up an Agency
To set up an agency, proceed as follows:
- In the Admin Center, select Recruiting→Set up Agency Access.
- Enter an Agency ID, Agency Name, Address, Phone information, and an Email address.
- Enable external agency portal access.
- Enter the duration for candidate ownership for new candidates.
This option sets how long the agency can claim ownership over a candidate if your configuration setting in provisioning is for duration instead of length of requisition.
- Enter the duration for Candidate Self-Ownership.
A candidate can "own themselves" and not be submitted by an agency for a set time period. This time period restarts every time a candidate applies to a job and, if no jobs have been applied to, continues to use the date the candidates created in their accounts.
- Select Enable the Allow agency user to view recruiter contact details checkbox if candidates should have access to recruiter contact details.
- Click the Change Language dropdown list to select another language in which to enter text.
- If desired, enter Duplication Message Text.
- If the submitted candidate already exists, send a text notification to the agency about the duplication.
- Enter Agreement Text.
This is the agreement between the agency and customer.
- Enter any additional reference notes.
- Click Save.
Add Agency User
Once the agency details are entered and saved, the user will be able to add the agency user.
