SAP SuccessFactors Time Management Overview

Managing employee absences is complex due to the current workforce trends. Remote and hybrid work models make it hard to track unplanned absences. Global teams introduce varying policies, holidays, and legal requirements while flexible schedules and shift work add administrative overhead for managers. Many organizations also have limited real-time visibility into employee time data. This makes it difficult to plan coverage or respond proactively. Evolving labor laws and manual systems increases the chances of errors, inefficiencies, and non-compliance.

So, organizations need an efficient and centralized time management solution that can reliably track time-related activity such employee absences and attendances, and determine how that time affects pay, compliance and workforce planning.

SAP SuccessFactors Time Management is the part of the SAP SuccessFactors Employee Central solution, which helps organizations manage employee time data by:

  • providing a unified platform to record, approve, track and evaluate employee working time, and absences
  • supporting a flexible framework that allows you to configure absences and attendances based on local laws, regulations, collective labor agreements, and other policies.
  • Ensuring compliance and efficiency by reducing reduce the risks of manual data entry.

Components of SAP SuccessFactors Time Management

Time Management is about tracking the times when employees are at work (attendance management) and when they aren’t (absence management).

Absences are times when an employee would be acting on behalf of the employer, according to the work schedule, but isn't, for e.g. vacation, sick leave, jury duty or unauthorized leave.

Attendances are times when an employee acts on behalf of the employer. Even if the employee is physically absent from the office, for e.g. home office or business travel, the employee still acts on behalf of the employer. So, working time performed on behalf of the employer regardless of where the work takes place physically is considered an attendance.  

In SAP SuccessFactors absences are managed in SAP SuccessFactors Time Off, while attendances are managed in Time Sheet and SAP SuccessFactors Time Tracking.

  • SAP SuccessFactors Time Off

    SAP SuccessFactors Time Off helps to manage all types of paid/unpaid absences including extended leave scenarios such as Leave of Absence (LOA) where the employee's status changes for the duration of the leave. It allows employees to request absences and managers to approve leave requests through configurable workflows.

    When you activate Time Off, you can also use basic Time Sheets functionality to record attendance, overtime, and allowances. When time is recorded in the Time Sheet, an online evaluation is done immediately to determine the straight time, overtime, shift premium, etc., for submission to Payroll.

    Note

    SAP SuccessFactors Time Off and the basic Time Sheet functionality are, both, included with the SAP SuccessFactors Employee Central license. You don’t need an additional license to use this functionality.
  • SAP SuccessFactors Time Tracking

    SAP SuccessFactors Time Tracking extends the Employee Central attendance recording capabilities to over complex attendance recording scenarios. It builds on the basic Time Sheet functionality and enhances it with features like clock-in/clock-out, real-time attendance recording, and advanced rule-based time valuation.

    SAP SuccessFactors Time Tracking can handle diverse or regulated work patterns such as shift work, on-call duties, or multi-country compliance requirements to ensure that recorded time is automatically validated against business rules and converted into payroll-relevant data, improving accuracy, compliance, and efficiency.

Note

SAP SuccessFactors Time Tracking requires a separate subscription.

SAP SuccessFactors Time Management also has several other core capabilities such as:

  • It provides an integrated time sheet experience through SAP S/4HANA.
  • It is supported by foundational technologies, such as Joule
  • It has an intuitive user experience across all devices
  • It has embedded analytics that give real-time insights into the workforce.
  • The built-in localization helps to easily adapt to many geographies and local regulations,It is supported by access to best-practice content.

Finally, it’s an extensible solution. So, it can also be tailored to business needs and extended using SAP Business Technology Platform (BTP).

Time Management Activation Combinations Supported

Time Off must be activated to activate Time Sheet. It is not possible to just activate just Leave of Absence and Time Sheet together, since Time Off is a prerequisite for Time Sheet.

Time Sheet is a prerequisite for Time Tracking. So you can activate Time Tracking only when Time Sheet is switched on.

In summary, you can

  • Activate Time Off on its own.
  • Activate Time Off and Leave of Absence together.

    Note

    This will give you just the Leave of Absence functionality, without Time Off.
  • Activate Time Offand Time Sheet together.
  • Activate Time Off, Time Sheet, and Time Tracking together.

Note

Time Off should only be used to record absences. It should not be used to record attendances such as training courses, travel time,or working from home. It is not designed for the volume of data that arises from recording attendances. Using it in this manner, will lead to extensive performance problems.
