Using Raw Material - Compliance View and Basic Compliance Data

Creation of the Raw Material Compliance View

Create the compliance view for a new raw material, assign product master and compliance purpose.

Raw materials are the first step in product compliance. Compliant raw materials are prerequisite for compliant products.

An important aspect for raw materials are the suppliers and their supplier materials behind it. This level of detail is essential for product compliance. For example the analytical composition of supplier raw materials may differ slightly. In addition, there are compliance assessments to be made specifically for each supplier. In the end, this might result in blocking an individual supplier for a raw material due to compliance issues.

Raw materials go into the production of products. Compliance data on raw materials are foundation for compliance calculations on these products.

Taking care of raw materials, their compliance data and processing compliance assessments are tasks of the master data specialist - product compliance.

The compliance view of a raw material, being the focal point of product compliance, comprises of all raw material related data necessary:

Assigned products model the integration with product master in logistics.

Compliance Purposes assigned to the raw material:

  • Manually assigned, for example related to production countries
  • You can define default compliance purposes for raw materials, which are assigned automatically upon creation of a new compliance view.

In addition there can be automatically assigned compliance requirements, propagated from products, for which the raw material is a component in the material-based composition before production.

Suppliers - leads to data, specific for a supplier assigned to the raw material.

For an assigned supplier, the following supplier-specific detail data are accessible:

  • Analytical composition of the specific supplier raw material;
  • Compliance Assessments, specific for a supplier respective the supplier raw material;
  • With Attachments, it is possible to store for example supplier's documents directly with the supplier raw material.

Where-Used Information relates to

  • Production countries/regions
  • Sales countries/regions
  • Applications
  • Used in unpackaged products

Applications, Production and Sales countries/regions are derived from unpackaged products, in which the raw material is used as a component in the material-based composition before production.

Compositions - a raw material only carries analytical composition data. By default, this data is globally valid and can be calculated from the underlying supplier raw material analytical compositions.If required validity-area specific analytical compositions can be created according to the Validity Area Concept.

Upon creation the compliance view of a raw material gets property groups assigned:

  • Physical-Chemical Properties
  • Safety-Related Properties

If required, additional property groups can be assigned manually.

With attachments, it is possible to store documents directly with the compliance view of a raw material.

In the Manage Basic Compliance Data – Raw Materials app, you get an overview on your Raw Materials.

Utilize the search to retrieve a specific raw material by name, the assigned product or the processing status.

If you have a new raw material, you use the action Create.

When you create a new raw material, give it an internal name.

The system automatically assigns the logistics role Purchased, which is mandatory for raw materials.

You can add logistics roles as required.

With the now created compliance view of your newly created raw material, you can maintain basic compliance data, which comprises of:

  • Compliance View Header

    This is the initial information of a compliance view with the internal name, number, and logistics roles.

  • Assigned Products

    This is key for the integration with logistics and assessing compliance data in checks or for output on documents.

  • Compliance Purposes

    Assignment of compliance purposes, define which compliance requirements need to be assessed.

  • Suppliers

    Suppliers are most important when it comes to raw materials. This is key to manage supplier compliance.

  • Where-Used Information

    This gives you insight, for which products the raw material is used.

  • Compositions

    Since numerous regulations relate to substances especially the analytical composition is essential.

  • Properties

    Maintain primary data on physical-chemical or safety related properties of the raw material.

  • Attachments

    Upload documents or add links to access additional information for the raw material.

To integrate the raw material’s compliance view with logistics, you assign products in product master:

  • related products representing the unpackaged raw material, for example to be used in a bill of materials,
  • along with each related packaged product assigned, a specific compliance view for the packaged product is created automatically.

You can assign additional logistics roles to the compliance view of a packaged product, which automatically will be propagated to the compliance view of the unpackaged raw material.

Assigned compliance purposes of a raw material:

  • Can be added manually, using the action Add.
  • Can originate from products, the raw material is part of. This propagation of compliance requirements is processed from the material based composition of the unpackaged product as applicable for the compliance pattern of the compliance requirement.
  • Default Raw Material compliance purpose is assigned automatically upon creation of a new raw material.

Suppliers, Supplier Raw Material, and Supplier Compliance

Drill down to the most detailed view of a raw material and understand how this relates to product compliance.

The crucial fact about raw materials is the assignment of suppliers.

You need to retrieve compliance data from suppliers, for example:

  • The supplier safety data sheet.
  • Additional information, for example the analytical composition or confirmation of compliance regarding specific regulations.

With a supplier assigned to the raw material, you can now:

  • Manage the supplier status for the raw material.
  • Edit supplier specific compliance data.

You get an overview on the compliance status of applicable compliance requirements, which originate from:

  • Compliance purposes assigned to the raw material.
  • Propagation of compliance requirements from unpackaged products, the raw material is used in.

The analytical composition for a supplier raw material is key for compliance assessments.

As soon as you have released the composition data, substance related compliance assessments are calculated automatically.

In addition, you can manually set the compliance status for the supplier raw material using the actions Approve or Block.

Where used Information, Analytical Composition, and Compliance Assessments

Understand the where-used information for a raw material. Edit the analytical composition and identify dependent objects.

The Where-used Information of a raw material comprises of two parts:

  • Unpackaged products, the raw material is going into. This is automatically determined from products’ material based compositions.
  • Originating from the identified products, there come:
    • Production and Sales Countries/Regions
    • Applications

The raw material analytical composition is calculated from the underlying supplier raw materials' analytical compositions.

As soon as you have released the suppliers’ composition data, the raw material’s analytical composition is calculated automatically if it was initial.

Dependent Objects of the analytical composition are compliance assessments of the solution area product marketability.

As soon as you have released the raw material analytical composition, compliance calculations start automatically.

The same applies in case you have created a new version of the analytical composition or any other underlying compliance data, for example a compliance assessment for an affected substance.

Calculated compliance assessments resulting in the status Compliant are released automatically.

In case, there is data missing for compliance calculations, for example the assessment of a substance is not yet released, or the assessment requires expert decision, the assessment remains in status In Progress.

Properties of a Raw Material, Attachments, and Further Actions

Edit the default properties of a raw material, upload attachments and get an overview on further action available on the raw material's compliance view.

Upon creation of a new raw material, two property groups are assigned by default.

Using the action create, you can assign additional property groups.

When you edit properties, you can:

  • Assign predefined textual statements, for which translations exist from the system embedded regulatory content;
  • Enter numeric values, for example for the density or flash point;
  • Add Notes, which are free texts, so there are no translations available.

When you finished editing data, do not forget to release the data to make it available for consuming processes, in the example to output the flash point in dangerous goods texts.

You can add attachments to the raw material and same for example to the properties.

Attachments can be:

  • Uploaded files
  • Added links

Work View

The work view provides a combined view on properties and compliance assessments.

You can define your own work views with content to suit your tasks.

View Compliance Assessments

This is the navigation to compliance assessments for the solution areas product marketability, safety data sheets and dangerous goods.

Add Logistics Roles

With this action, you can add logistics roles to the compliance view not assigned yet.

View Admin Data

Find admin data for the compliance view:

  • Last change user and date
  • Internal number of the compliance view
  • Responsible units
