Maintaining Master Data Manually

Before starting data collaboration with your business partners in SAP Sustainability Data Exchange, the first step is to maintain master data which include the information on business partners as well as products. This can be performed directly in the application or through the integration with ERP system.

Maintain Company Profile

When setting up the master data for company profile, you need to enter some basic information about your company into the system. This will create your company profile, which your connected partners can view. To accomplish this, access the Manage Company Profile application and populate the fields for company name, company ID, and other relevant data.

The following fields are editable in the app:

Note

In case that you are actively participating in the Catena-X data eco system, the BPN (Business Partner Number) that is issued by the operating company (Cofinity-X) shall be maintained here.

Maintain and Connect to Business Partners

When you need to review the information about your business partners that you imported via the Import Master Data application, you can use the "View Partners" application. The master data for business partners includes partner name and ID, Business Partner Number, and contact information.

Importing master data for partners

To be able to exchange product footprint data, you first need to import the data about your business partners such as suppliers and customers). Follow the steps as listed.

  1. Prepare the CSV file with partner details. You need to provide the following information about the CSV header.

  2. Prepare the CSV file with partner details. You need to provide the following information about the CSV header.

    The following is an example of a sample CSV template and sample data here.

  3. Log on to the system as a Company Administrator.
  4. Open the Import Master Data app.
  5. Click on the Import CSV button to import your CSV from your file directory or drag and drop your file.

    The Partners Imported message is displayed.

  6. Check that your import is listed in the Imports section with information about the imported file, status, and any errors.

Maintain Products

When you need to import the master data for products, you can either use a CSV upload or you can create and edit products directly using the Manage Products application.

Importing product master data using the CSV upload

To import the master data for products using a CSV upload, follow the steps as shown here.

  1. Prepare the CSV file with product details. You need to provide the following information about the CSV header.

  3. Log on to the system as a Company Administrator.
  4. Open the Import Master Data app.
  5. Click the Import CSV button to import your CSV from the file directory, or drag and drop the file.

    The Products Imported message is displayed.

  6. Check that the import is listed in the Imports section with information about the imported file, status, and any errors.

Creating and Editing Product Data using the Manage Products Application

You can also easily create and edit the product information directly on the user interface in Manage Products application.

Use the Create button to add product. You can edit the same range of information as you would using a CSV file. For the existing products, you can view and edit by selecting the corresponding item line and choose Edit.

Additionally, you can delete a product, which removes it from active use but does not remove it entirely from the system. When a product is marked for deletion, it is no longer visible in the process apps such as Process Inbounds, Process Outbounds and Manage Footprints applications. In addition, you cannot create any new data for the respective product. However, existing data is not deleted, and you have the option to Restore a deleted product.

Assignment of Products to Business Partners in the Manage Products Application

A successful data exchange on product carbon footprint relies on the established product mapping on both buyer and supplier sides.

No matter how you created the products - using CSV import or directly in the Manage Products application, the last step to complete the product information, is to assign it to the respective partners (defined as either customer or supplier).

SAP Sustainability Data Exchange supports a flexible mapping mechanism. In practice, either supplier uses identifiers specified by the customer, or in some industries, customer orders goods from catalogs. In this case, IDs are defined by suppliers. This means that the minimum requirement for a successful footprint requesting and sharing is that either the requester or the sender has maintained PARTNER PRODUCT ID values for the relevant product.
