Finding the Required Business Roles and Business Catalogs for a Solution Process

A General Introduction to Business Roles and Business Catalogs

Each solution process has business roles and business catalogs associated with it. These roles and catalogs define the access a user has in SAP S/4HANA Cloud Public Edition, service. In other words: what they can see and do when they log in. When implementing a process solution it is important to assign the appropriate business roles and business catalogs to test accounts in order to run test scripts, as well as assign these roles along with the associated catalogs to appropriate business users when the system goes live. This lesson briefly describes where to find the documentation and test scripts to set up business roles and business catalogs for any process solution you are interested in implementing.

   
Business RoleA business role is assigned to a business userto provide access to business tasks.
Business Catalog

One or more business catalogs are assigned to a business role.

Administrators control visibility to data by applying general restrictions to individual catalogs within the Business Role.

UI and Data Access

One or more applications, displays, or other data access has been assigned to each Business Catalog.

Administrators can control visibility to data within granted apps or other data access.

Business Roles

Access to business applications is controlled by role-based authorization management. You assign business roles to business users, and the roles provide access to business tasks. Business users are defined as employees, contractors, or other individuals who need access to SAP S/4HANA Cloud Public Edition, service.

To find the required business roles for a solution process, open the test script associated with that scope item. To find the test script follow these steps:

  1. Visit https://me.sap.com/processnavigator and log in if necessary.
  2. Choose Solution Scenario.
  3. Scroll to find SAP Best Practices for SAP S/4HANA Cloud Public Edition, service.
  4. Scroll through the Line of Business list to find Service.
    • You can further refine the list of scope items under Service by clicking the arrow icon on the left. This will reveal the categories Service Master Data & Agreement Management and Service Operations & Processes.
    • Alternately, in the Search in SAP Signavio Process Navigator field, enter the ID of the solution process you are looking for (like 3D2).
  5. Locate the scope item you need and select the relevant version.
  6. Download the test script from the Accelerators tab.
  7. Navigate to the Roles section of the test script.

Business Catalogs

To identify the business catalog(s) mapped to a business role and the SAP Fiori app(s) mapped to a business catalog, follow these steps:

  1. Log on to SAP S/4HANA Cloud Public Edition, service.
  2. Select the Manage Business Roles app from the launchpad.
  3. Select a business role.
  4. To view the standard business catalogs assigned to the standard business role, select the Assigned Business Catalogs tab.
  5. Select a business catalog.
  6. To view the functional description, authorization criteria, and associated catalogs information, select the Catalog Description tab.
  7. To view the SAP Fiori apps mapped to the business catalog, select the Applications tab.

Do not edit SAP standard business roles directly. To customize business roles, always make a copy of the SAP standard business role or use the option Create From Template in the Maintain Business Roles app.

Note
Every unit in this course that introduces a solution process also contains information about the required business roles, to be able to test and execute the process associated with that scope item.
