Approving an Execution Work Program

Objective

After completing this lesson, you will be able to explain a workflow of execution work program approval.

Submission of Execution Work Program to an Audit Manager

An audit team performs all risk assessment steps for an audit if they are enabled for an audit type of the audit. Then an audit lead creates an execution work program. Refer to the lesson, Preparing an Audit Work Program, in this unit to find information on how to prepare an execution work program.

When an execution work program is prepared, the audit lead submits it for approval to an audit manager by selecting Submit Work Program in the Prepare Audits app. Optional notes for the action can be provided. Even if the execution work program has been already submitted to the audit manager, the audit lead can change the execution work program and submit it again.

This figure shows a Treasury audit work program in SAP, listing work packages, status, responsible persons, and changes.

Approval/Rejection of Execution Work Program and Starting the Audit Execution Phase

When the execution work program is submitted by the audit lead, it is ready for approval or rejection by the audit manager. All audits awaiting work program approval are accessible in the Approve Audit Preparation app. The audit manager can approve or reject the work program in the Approve Audit Preparation app by selecting Approve/Reject. An optional note can be provided. If the work program is rejected, it will be sent back to the audit lead for rework and submission.

The audit lead finds the rejected audit in the Prepare Audits app, reworks and submits it again. The audit lead keeps revising the work program until it is approved. The audit manager reviews and approves the submitted work program. When the work program is approved, the audit status becomes In Execution, which means the audit team can start execution of the audit in the My Ongoing Audits app.

This figure displays a Treasury audit work program overview, showing key scopes, status, responsible persons, and recent changes.

Transition to the Audit Execution Phase without Approval of an Execution Work Program

There is a functionality specially for quality audit types to skip approval step for an execution work program. In general, this functionality can be configured for any audit type if no work program approval is required for this audit type.

An audit lead creates an execution work program for a quality audit and submits it. As no approval step is necessary for this audit type, the status of the audit becomes In Execution straightaway after submission and the audit team can directly execute this audit in the My Ongoing Audits app.

This figure shows the SAP interface for managing and submitting audit work programs within ongoing quality and financial audits.
