Customizing Codes and Domain Mappings

Objective

After completing this lesson, you will be able to customize organizational codes and establish domain mappings for data integration, including importing custom UNSPSC codes, custom domain codes, and csv-file based import of spend data, and assigning validation rules.

Categorizing Product Codes

The category management administrator can upload classification codes to categorize product codes. They can upload custom UNSPSC codes, custom domain codes, and set up custom domain validation rules.

You can enter custom UNSPSC codes into the SAP Category Management template. Download the template, update it, save it, and then import the file into the system. After importing, the standard UNSPSC v9.05 list used by SAP Category Management will be replaced with your custom list. All of this can be done by selecting the Manage Configuration app, then choosing the Taxonomy dropdown menu, and selecting UNSPSC Codes.

Category management administrators can create validation rules for each custom domain they import. These rules help category managers ensure that purchasing categories are properly linked to specific custom domain codes based on the validation criteria. SAP Ariba Category Management offers these two validation rules for custom domains:

  • 1:1: Enforces that custom domain code mapping is unique across all purchasing categories.
  • 1:Many: Ensures that custom domain code mapping remains unique across all purchasing categories.

Importing Custom Domain Codes

To import custom domain codes into SAP Ariba Category Management, the category management administrator will use a Microsoft Excel spreadsheet in *.xlsx format to import the custom domain codes. To Import custom domain codes:

  1. Choose the Manage Taxonomy app.
  2. Choose the Product Classification Systems drop-down and select Custom Domain Codes from the drop-down menu.Image of the Custom Domain Codes selection in the drop-down.
  3. Choose Import/Export to download the Template for Custom Domain Codes located in the right panel.Image of Import/Export.
  4. Update the template with your custom domain codes and Save.
  5. Choose Browse and upload the updated spreadsheet.
  6. Choose Import.Image of Browse and Import.

Additionally, category management administrators can set up CSV file imports for spend data, enabling SAP Ariba Category Management to process any spend data uploaded through CSV files in the spend data loader application to the procurement data warehouse. If you are de-duplicating suppliers, enriching data, or classifying invoices with a solution other than SAP Ariba Spend Analysis, you can upload the exported CSV data from that solution into the procurement data warehouse. This allows you to use the data in SAP Ariba Category Management via the spend data loader application.

Setting Up the CSV File for Import

To set up the CSV file import for spend data in SAP Ariba Category Management:

  1. Choose Manage Taxonomy.
  2. Choose the Product Classification Systems to access Custom Domain Mapping Rules in the drop-down menu.
  3. For the relevant custom domain related to the spend data, choose the Enforce 1:1 Mapping of Codes to Categories checkbox.
  4. For the relevant custom domain related to the spend data, choose the Enforce 1:1 Mapping of Codes to Categories checkbox.Image of the Custom Domain Mapping Rules selection and the Enforce 1:1 Mapping of Codes to Categories checkbox.
  5. Choose the Purchasing Categories tab.
  6. Open the purchasing category that you want to map to the custom domain codes.
  7. In the Product Classification section, choose Add and then choose the domain that you created for spend data classification.Image of the Add option.
  8. From the pop-up, choose the custom domain codes you wish to map to the purchasing category, and then publish the category.Image of the pop up with custom domain codes.
  9. Work with the spend data loader admin user in your organization to upload the spend data using the spend data loader application. For more information on using the spend data loader application.

Assigning a Validation Rule to a Custom Domain

To assign a validation rule to a custom domain:

  1. Choose the Manage Taxonomy app.
  2. Choose the Product Classification Systems tab, then the Custom Domain Mapping Rules from the drop-down menu.
  3. Choose the checkbox for Enforce 1:1 Mapping of Codes to Categories in the chosen domain.Image of the Custom Domain Mapping Rules selection and the Enforce 1:1 Mapping of Codes to Categories checkbox.

    Note

If the custom domain code is already mapped to multiple purchasing categories, an error will appear. If the custom domain code mapping is unique, the changes will be saved automatically.

Summary

In this lesson, we have explored how category management administrators can upload custom classification codes into SAP Category Management. We learned about uploading custom UNSPSC codes and custom domain codes, setting up domain validation rules, and importing CSV files for spend data. The process involves using specific templates, updating them, and importing them into the system. This ensures accurate mapping and validation of purchasing categories and spend data. We've also covered the steps for establishing and enforcing validation rules for custom domain codes to maintain unique mappings.
