Enabling Version Control

Objective

After completing this lesson, you will be able to enable and manage version control for templates and configuration data.

Enabling Version Control

In SAP Ariba Category Management, the category manager will have their strategy and plan document approved. Later, they realize that changes are necessary. To implement these changes, the category management administrator must enable versioning attributes. The administrator can configure versioning attributes for strategy and plan tools:

  • Enabling Versioning: This attribute allows the SAP Ariba Category Management solution to create a new version of the strategy and plan document whenever category managers edit the data in the respective tool. A new version is generated for documents in active, approved, or rejected status.
  • Initiate Reapproval: This attribute enforces reinitiation of the approval process when category managers edit the data in the respective tool. It can only be enabled if the Enable Versioning attribute is also enabled for that tool.

Versioning attributes can be configured according to the organization's specific requirements. They are disabled by default.

  • Strategy Summary

When the Enable Versioning attribute is activated for a tool within a strategy and plan document (whether in the active, approved, or rejected stage), the SAP Category Management solution creates a new version of the document whenever the category manager edits the data in that tool. The phase of the strategy and plan document remains unchanged.

When the Enable Versioning and Initiate Reapproval attributes are enabled for a tool in a strategy and plan document (during any active, approved, or rejected phase), the SAP Category Management solution generates a new version of the document whenever the category manager updates the data in that tool. The document's phase is then automatically set to Draft.

Category managers must resubmit the document for approval to activate the new changes. When the Enable Versioning attribute is turned off for a tool within a strategy and plan document (in the active, approved, or rejected phase), the SAP Category Management solution does not generate a new version of the document when the category manager updates the data in that tool. The document's phase remains unchanged.

To enable versioning:

Summary

In this lesson, you learned about configuring versioning attributes in SAP Ariba Category Management to manage changes in strategy and plan documents effectively. We covered:

  • Enabling Versioning: Creating new versions of documents when category managers edit data during various document statuses (active, approved, or rejected).
  • Initiate Reapproval: Enforcing the reapproval process whenever category managers modify data, ensuring that the updated document passes through approval again.
  • Steps for Enabling Versioning Attributes: The procedure for accessing and enabling these attributes in the SAP Ariba solution.

By understanding and implementing these steps, category management administrators can ensure that all changes to strategy and plan documents are accurately tracked and properly approved, maintaining the integrity of the document lifecycle.
