Introducing Budget Tracking Fields

Objective

After completing this lesson, you will be able to explain the purpose of budget tracking fields.

Basics of Budget Tracking Fields

Budget tracking fields help organizations manage and monitor spending by linking spend to specific budgets for the cost center, department, projects, or a combination of these. This ensures that spend aligns with predefined budgets and provides visibility into how funds are allocated across different areas.

In SAP Concur, budget tracking fields are particularly useful when capturing spend from multiple products, such as Concur Expense, Concur Invoice, and Concur Request. These fields allow you to define a budget at various levels (Header, Entry, Allocation) and establish relationships between these levels.

You can create budget tracking fields for each budget item, and only spending items that match the specific tracking fields and values for that budget will be applied to it.

You configure the budget tracking fields on the following two tabs:

  • Budget Fields
  • Budget Field Mapping
The image shows a screenshot of a Budget Tracking Fields tab under the Budget Configuration page. It features a Budget Fields view with options to Add Budget Tracking Field, Add Connected Budget Tracking Field, Modify, Remove and Save Sequence. The table list items like Department, Projects, Cost Center, each associated with a Field Type, List, and Sequence. Sequence column contains arrows for adjusting the order of the fields.
