Explaining Process Activity link Workflow Modeling

Objective

After completing this lesson, you will be able to steer the process workflow in the Universal Model.

Process Activity Link Workflow Modeling

Process Workflow is central point of interest from the end-user perspective. This video will teach you how to link activities to the process and create workflow. After viewing this you will be master of workflow creation: from simple to "spaghetti" workflow.

Now after knowing and understanding the Process Workflow, we will now be discussing how to create this Process Activity Link Workflow. In our demo, we will be using the Process we have created earlier and as you see we have created an activity earlier. What we will be doing is that We will create an activity through Process, in activity link, select on Create and then select the whole row and then select Add Activity. When selected there is a pop-up that you need to define the Function, in this case we will be selecting Companies. You might be wandering why is it showing just certain list of functions. It is because it is directed to the Runtime Environment that the process has. Upon selecting, define the Activity ID and Activity Description. Then select Add Activity. Fast forward I have created 5 activities together with the operations that we want the execution user wants to execute such as confirm, run, reject. Now that we have created all the activities. Let us go back to the Process screen and in the Activity link section, select the first activity that we linked. And put condition into it. For this Manage Companies, lets say that when this activity got confirmed Activity State will be set as Confirmed and the Process state will be active. This "To Activity " is the activity that will be open for execution once this activity is Confirmed. After the Manage Companies, I will add another activity and have it row 2000, if you will notice I used 1000 as row that is for comfort of adding activities in between, so going back , Manage Currencies. Same condition with Manage Companies activity, when confirmed the Activity state will be confirmed and the Process state still Active. Then also have the Manage Ratio open.

Now , for the Manage Ratio, we are going to create two links to it. One is if it is confirmed then the activity state will be confirmed then the status of the process is Active the next activity is Display Allocation Result. The other one as Row 3010 is what if it got rejected. Once it is rejected then the Activity state will be set to Rejected and he Process state will still be active and the To Activity will be reopened or re- executed. Now the last activity is the Display Allocation Result. In here, I just set this as when confirmed then the Activity state will be active and the Process state Is COMPLETED. Meaning that will be the end of the Workflow.

So how it is done in the Process is this. When you activate the process the first two activity become active also. So when we confirmed one of them the Manage Ratio will be open for execution. When Manage Ratio is rejected, you will see that the Manage Companies will be open and Manage Ratio is Rejected.

Lets say, everything has been checked, everything is as expected then we can now confirm the activity and once confirmed then the last Activity will be open for execution and will end the workflow.

When we are now in process modeling, you will be seeing this artifacts. The first thing is I've said if I activate the modeling a while ago, I'll be creating runtime fields, runtime environment functions and connections. And from there I could then start creating process, right? So from a process standpoint, process will be needing activity. So you will be having activity, activity links and show process. So just to be clear, from a process standpoint, you have show process wherein we will be discussing with you on day three the so-called network and Gantt as well be given module. One day already gave a hint about this. We will also be teaching about the activity links. So activity links how to create conditions and actions in your in your process and then also activities and how to to model it using action bought on what is the show rules and show data.

Why do you have activity there and then activity here again. So this the second activity is a stand alone activity. So you can see here that activity could be either a process driven or a stand alone. And then you would also be having the data privilege, data lock and teams. These three main applications are being used for security purposes. As I've said a while ago, you you could limit your environment process activities to only be seen by specific team and you also have data-driven authorization through these three.

Lastly, you have the layout. So when you have an activity, you have a show data and a show data could be adjusted and will cause this creation of layouts. So this is the high level process modelling overview our objects.

Universal Modeling has extended workflow tracking, auditing and managing possibilities. If you are not satisfied with a list view of your workflow, but are eager to get a better insight in activities interdependences this video is for you.
