Change Request Analysis for Business Partners, Products, and Financial Data

Change Request Analysis apps offer one-stop information in a highly flexible analysis tool for change request root cause analysis. This highly flexible tool facilitates the monitoring of process quality issues that are related to change requests using various drill-down dimensions

With Change Request Analysis apps, you can:

  • Analyze change request processes using different drill-downs on dimensions, such as status, priority, and business object type.

  • Use graphical or compact filters for selecting your change requests, time-frame, status, and so on, to analyze the process data.

  • Keep track of the average change request processing time.

  • Navigate to the selected change request.

The screenshot shows the change request analysis for financial data app.

Basic Functionality

The figure shows the basic functionality of the analytical list page (ALP).

All apps implement the SAP Fiori analytical list page (ALP) floorplan and share the same behavior (see https://experience.sap.com/fiori-design-web/analytical-list-page/):

  1. Header with the filter bar, here displaying visual filters for Number of Change Requests by Status, Number of Change Requests by Priority
  2. Change Requests chart - smart chart for visualization, drill-down, and filtering
  3. Change Request table - analytical table for detailed information, actions, and export

This is a versatile and powerful analysis tool.

The screenshot explains the basic functionality of the change request analysis for financial data app.

Filter Bar

The layout of the analytical list page is quite flexible. Depending on the state of the analytical page header and the view in the content area, different content is displayed.

The expanded page header allows users to display either the visual filter bar or the filter bar by using the button.

The screenshot explains the usage of the filter.

Hybrid View

The content area shows different visualizations of the selected data. It can display either a hybrid view, a chart-only view, or a table-only view. The analytical list page always comes with all three views.

In the hybrid view, users can interact with both the chart and table visualizations at the same time. In addition, the analytical list page supports a chart-only view and a table-only view.

The screenshot shows different visualizations of the selected data. Here you can see the hybrid view.

Chart View

The figure of the Chart View visualizes the data in the chart-only view.

Change Request Analytics Using Master Data Attributes

With SAP Master Data Governance on SAP S/4HANA 2020, a new process analytics framework was delivered: Change Request Analytics by Master Data Attributes. This framework provide analytics capability to enable your master data specialists to get real-time insights into change request processes by master data attributes and organizations.

With this analytics capability, you can monitor open and completed change requests for your master data by attributes and organizations, and identify and fix process gaps, bottlenecks, and errors.

You can also get process transparency for different master data dimensions and analyze and compare process efficiency, answering the following questions:

  • How fast are different processes executed?
  • Is performance improving or decreasing across different master data dimensions?

The framework offers the flexibility to allow key users to configure analytics requirement to analytics reports.

Key Features

  • Easy-to-use configuration to meet various business needs
  • Integrated authorization control on master data and segmentation
  • Enablement for SAP delivered models and custom data models
  • Enablement of most analytics tools with standard analytics annotations, for example, SAP Smart Business and SAP Analytics Cloud.

The solution is based on analytics CDS views, which is a widely used technology in SAP S/4HANA analytics. The main purpose of the framework is to support you in generating such analytics CDS views for your data model entity type. Based on the analytics CDS views, various analytics tools, such as Smart Business Generic Drilldown reports, Web Query, Analytics Path Framework, and SAP Analytics Cloud, can be used as a UI layer.

The figure explains the solution architecture.

Follow these steps to start your configuration:

  1. Generate basic CDS view for the data model.
  2. Configure and generate analytics CDS views.
  3. Configure the analytics report.
  4. Configure role and authorization control.

Configure Analytics CDS View

You can configure Analytics CDS views for all the master data governance data models your business user requests, including custom data models.

To start the configuration of your CDS views, go to: MDGIMGGeneral SettingsProcess Analytics. There, you find all required steps you need to perform.

The capabilities are as follows:

  • Flexibility to cope with various analytics requirements
  • Possibility to join different master data attributes to support deep drill-down analytics
  • Standard analytics annotations to support different analytics UI tools to build custom reports
  • Extensibility supported by in-built configuration capability
  • Support for continuous enhancement on CDS view enrichment
  • Possibility to join data sources from outside master data governance to change request analytics with very little effort
  • Support for Read Access Logging function for audit purposes
  • Performance optimized by using Analysis Targets

Generate Analytic CDS View

In one click, generate ready-to-use Analytics CDS views for all master data governance data models, including custom data models.

Navigate in MDGIMG customizing to: General SettingsProcess AnalyticsGenerate CDS Views for Process Analytics.

The screenshots show the customizing for process analytics.

Choose a name, a data model, and a main entity type for your data analytics query and enter a local package to store the generated CDS views.

On the second level, choose attributes in Field Selection that you would like to use to drill down the master data (for example, Product, Business Partner, and G/L Account) and further analyze the change request.

Note

In the analytics report, it always shows the final value of the master data, no matter which intermediate values have been processed by the change request

Note

Regardless of whether you’re in a development, test, or production system, the master data governance data model must be activated individually. Therefore, your configured CDS view also needs to be individually generated in each system.

Note

Reducing the number of attributes and entity types under one analytics CDS view may increase performance. As a general recommendation, use only one or two entity types

Once you get the success message, you should be able to check the CDS view in ABAP Development Tool or SE11.

The screenshot shows the CDS View in ABAP developent tool (SE11).

Available Value Measures in Data Source

  • Number of change requests
  • Average/total change request processing time
  • Average/total overdue days

Available Dimensions in Data Source

  • Change request info, for example, Type, Status Reason, Reject Reason, and Priority
  • Field Name, Entity Type, New/Old Value, Action, Changed By/At
  • Keys of attributes for change analysis, for example, Plant
  • Your configured attribute from Additional Attributes for Report Drilldown

Configure Analytics Report

Based on the generated analytics CDS view, you can configure the smart business report for your needs.

The screenshots shows the apps HowTo-Change Analytics in MDG in detail.

Based on the generated analytics CDS view, you can create a dashboard in SAP Analytics Cloud.

The screenshot shows the custom dashboard SAP Analytics Cloud

Change-Request Work Item Analytics

Out-of-box process analytics in master data governance on SAP S/4HANA enables master data specialists to:

  • Get real-time insight into ongoing change request processes
  • Analyze performance of completed processes for continuous improvement
The screenshot shows the work item analytics and monitoring apps like Monitor Open Work Items and Analyze Completed Work Items for Business Partner, Product and Financial Change Requests.

The figure provides an overview of existing apps to monitor and to analyze open and completed work items. SAP Master Data Governance delivers six apps for SAP delivered models: Business Partner, Product, and Financials and it is easy to enable for custom models.

The apps enables master data specialists and analysts to monitor ongoing governance processes, and identify and fix process gaps, bottlenecks, and errors. The apps help answer the following types of questions:

  • At what stage are processes?
  • How are the processes performing?
  • Are there many work items waiting too long for completion?

Master data specialists can use the apps to navigate directly to problematic change requests to fix the problems. The apps also provide workload transparency for responsible organizations.
