Create Business Partner

Create Business Partner - Process Flow

For creating a new Business Partner, SAP Master Data Governance offers a workflow that can be configured according to specific needs. This workflow for the Create Business Partner process triggers replication at the end of the process.

Using the standard template offers a dual-control mechanism, where an approver cannot change data. Furthermore, an email notification is sent to the requestor after approval/rejection.

Create Business Partner - Search

Before creating a new business partner, use the Manage Business Partner - Central Governance App to search for the business partner. If no business partner exists, create a new one.

Working with the Manage Business Partner - Central Governance app allows you to use filters to define filter fields, save them as a view (fields and values) and share the views by email. In the hit list, configure your list (fields, sorting, grouping) and export the hit list to a spreadsheet. Besides that, display business partner details and edit them, create a new business partner or process multiple business partners in a mass request.

Create Business Partner - Interaction Flow

To create a new business partner, follow the steps:

  1. Choose the Create button and select a business partner category. That could be a Person, an Organization or a Group.
  2. Fill in the most important fields in the Create Organization dialog box.
  3. Maintain additional information.

Address Layout / Name Format

Four different address screen layouts are provided:

  • Europe (standard)
  • USA
  • Canada
  • Japan

Create Business Partner - Features

Given here are the features when creating a business partner.

When requesting a new business partner, enter a description and choose whether you want to create the business partner with a new process, or whether you want to assign it to an existing process.

During validation, standard checks and validation rules are used, as well as a duplicate check. The address validation is an optional feature.

  • Share view by email or as a tile
  • Save data
  • Save data and submit request
  • Cancel creation

Create Business Partner - Duplicate Check

Duplicate check features, when creating a business partner:

  • Integrated Duplicate Check in Central Governance
  • Potential duplicates found with rule Address or Identification (ID and/or Tax number)
  • Easy comparison using variant - Standard (address data), Identification (ID / Tax number)
  • Navigate to the object page of duplicate using a smart link

Create Business Partner - Address Validation

Address validation features:

  • Validate and enrich address data
  • Interactive review UI in case of ambiguous or erroneous addresses
  • Optional service, which can be subscribed separately. This service requires a subscription to SAP Data Quality Management, microservices for location data.

Create Business Partner from Reference

Create Business Partner from Reference with External Data Provider CDQ

To create a business partner from reference, perform the following steps:

  1. Search in the Manage Business Partners app reveals that a needed business partner is not available in MDG
  2. With Look Up and Create you can search for reference data from CDQ. This requires a contract with CDQ AG.
  3. Having chosen the matching reference record, Create Business Partnertransfers information to the Manage Business Partners app.
  4. Reference data is available for creating the business partner without the need to manual data entry.

Enrich Business Partner from Reference

To enrich a business partner from reference, perform the following steps:

  1. Use Look up and Enrich to search for additional reference data for a Business Partner.
  2. Existing information of the Business Partner is used to search for reference records from CDQ (This requires a contract with CDQ AG.). Search criteria can be manually adjusted.
  3. Select the reference record of interest. Pick from the compared data, initially only the delta is shown. The system recommends an action (e.g. "Overwrite") which can be overruled (e.g. with "Add").
  4. Business Partner is enriched with additional data.

Use Stored References for a Comparison with the Business Partner

You can use stored references for a comparison with the business partner. Perform the following steps:

  1. While using Look up and Create or Look up and Enrich not only the data is transferred to the Business Partner, but also from where the data was taken from. This source information is stored in the Identification Numbers - References section.
  2. With selecting the reference record of interest and clicking on Enrich the business partner is compared to latest data of exact that reference.
  3. Business Partner is enriched with additional data.

  1. Select a Business Partner to display details.
  2. Choose the Edit button to change data.

Change Multiple Business Partners

To change multiple business partners, start with creating a process using the app Manage Governance Process - Business Partners. As a second step, fill in the selection and start mass request.
