Configuring Guided Sourcing Event Templates

Event Template Components

An event template consists of rules, a place for the project owner to specify suppliers, content such as questions, and a summary.

A draft version of an event template is open. The Edit option for the event is highlighted within the Documents area of the template. The event editor is highlighting the Rules, Suppliers, Content, and Summary steps.

While configuring a template, you configure each of these steps so that projects inherit the following:

  1. Rules is where the event rules control how the event works.
  2. The Suppliers page is just a placeholder; the project owner adds them when creating an event from a template.
  3. The Content area has two tabs:
    • The Definitions tab is used to set up lots, line items, and terms.
    • The Content tab allows content elements to be created that will appear in every project that uses this template.
  4. The event template Summary section is used to review the template settings, edit the overview and event messages, or view template tasks.

Creating Guided Sourcing Template Workflow

There are situations when a new event template is required because a specific event rule needs to be enabled that alters the bidding format and makes other event rules obsolete. For example, the alternative bidding, bid transformation, envelope, and capacity rules all require their own templates to enable these specific event rules and their supplementary settings.

As mentioned, it is recommended to copy an existing event template so that the item definitions, surrogate bidders and other standard settings in default event templates function properly.

Alternatively, members of the Template Creator system group can create a guided sourcing template with the following procedure:

  1. On the dashboard, select ManageTemplates
  2. Open the folder where you want to create the template.
  3. Choose ActionsCreateTemplate.

    Note

    New event templates should be created by copying a standard event template, rather than being made from scratch.
  4. On the Select Project Type for Template page, choose Sourcing Project for the project type.
  5. On the Create New Project Template page, enter a name for the template.
  6. In the Project field, choose Quick Project.
  7. In the Event Type field, choose RFI, RFP, Auction, or Forward Auction.
  8. In the Guided Sourcing Template field, select Yes.Create New Project Template page is open. Guided Sourcing Template rule is highlighted.
  9. Select OK.

    This creates a template with an event under the Documents tab of the template page.

  10. Edit the rules and contents for the event in your template.
    1. Go to the Documents tab, select the event and choose ActionEdit.
    2. Use the links in the left margin to navigate through the pages of the event information, including Rules and Content.
    3. After you finish your edits, go to the Summary page and Exit.
    4. On the Confirm Edit Event Exit page, choose return to project.
  11. Optionally add an Approval for Publish task that prevents the event from being published until the contents are approved.
  12. Optionally add a Review for Team Grading task, which allows multiple team members to grade supplier responses for a guided sourcing event.
  13. Optionally edit the project team members and group assignments.
  14. Publish the template in the Properties area, choose ActionsPublish.

Summary

  • The event templates consist of the following areas:
    1. Rules is where the event rules control how the event works.
    2. Suppliers page is just a placeholder; no action required.
    3. Content has two tabs where Definitions is used to set up lots/line items, and the Content tab embeds content elements that will appear in every project using that template.
    4. Summary can edit the project overview and event messages, or view the template tasks.
  • A new guided sourcing event template must have a type of RFI, RFP, or auction, and have the Guided Sourcing Template setting enabled.

Configuring Custom Actions Menus

Configuring Custom Actions Menu in Guided Sourcing Templates

The Custom Actions Menu enables you to access other applications from a guided sourcing full project.

You can quickly access other applications from a guided sourcing full project by using the Custom Actions Menu. You can get updates from other applications reflected in the guided sourcing full project.

Full Sourcing Projects can have their action menus customized within the Advanced Options tab of the full sourcing project template.The Custom Actions Menu Settings section of a Full Sourcing Project Template is open within the Advanced Options tab.

Configure the custom actions menu based on your organization's needs:

  1. Menu name: Enter the name of the drop-down that you want to be displayed in guided sourcing full projects. This field value is ignored if you have only one menu option.
  2. Menu option: Enter the name of the custom actions menu that you want to be displayed in guided sourcing full projects.
  3. URL: Enter the URL of the external or internal application to which you want to link the custom menu option.
  4. Enable in: Select the sections in the guided sourcing full project where you want the custom actions menu to appear:
    • Events and Other Documents
    • Project Message Board
    • Project Summary
    • Tasks

Events can have their action menus customized within the Rules section of an event template.The Custom Actions Menu Settings section of an Event Template is open within the Rules area.

The configuration for Menu name, Menu option, and URL is the same as for full projects.

The Enable in options are specific to event areas:

  • (Award) Award Allocation
  • (Award) Award Scenarios
  • (Award) Questions, requirements and attachments
  • (Award) Tasks
  • (Draft) Event duration
  • (Draft) Items that need quotes
  • (Draft) Questions, requirements and attachments
  • (Draft) Suppliers
