Adding Form Templates Compatible with Calibration

Objective

After completing this lesson, you will be able to manage form templates compatible with Calibration.

The Performance Form Template

Form templates are the basis for all forms in the SAP SuccessFactors HCM Suite. Multiple products use forms in SAP SuccessFactors, so form templates are not exclusive to Performance Management. A form template is a shell that contains the structure (layout) of the performance review. From this, the forms used by employees to complete their performance reviews are created. Form templates contain the layout, sections, and workflow for each form.

The form templates that your company are using were uploaded for you when SAP SuccessFactors was implemented. You may edit many features of the form template in Admin Center, but you may need to submit a Support Ticket for specific permission requests that can only be made in the back end. To maintain any back end work your implementation consultant completed to prepare your first performance form, it is best practice to copy that template, and then make any necessary adjustments for the following year’s performance cycle.

Dependency for Calibration

All versions of SAP SuccessFactors performance form templates are functional with the Calibration product. The main difference between a basic performance form template and form that will be calibrated is the route map. The route map must have one Modify step that is single-role or collaborative either for the manager ratings, or after manager ratings. This step will then be used in the calibration template to populate manager ratings.

Performance forms must also have manual ratings configured for Performance, Overall Objective, or Overall Competency to use the drag and drop feature in calibration.

Compensation may also be calibrated, and a method of doing this is to add a custom section to the performance form to populate a compensation worksheet. After calibration, you may click into individual employees’ performance forms, launch the compensation worksheet, and adjust the pay. It is also possible to configure a View within the calibration session that populates a matrix with two axes. You may populate one axis with the overall form rating as a marker of performance, and one axis with a merit scale to determine compensation increases.

Performance Template from the SuccessStore

This guide focuses on calibrating performance ratings and will use performance form templates as the data source for all exercises. To add a performance form template to the instance, navigate to Manage Templates using Action Search, select the Performance Review tab, and choose Add SuccessStore Template.

Existing Performance Template Copying

You may choose to copy an existing performance form template for the next review cycle to collect and calibrate ratings. To do this, click the name of a template and select Save As… with your new title.

Note

Best Practice:

Copy the configured performance form created by the implementation consultant and change the title for the next review cycle. This allows you to retain all permissions and special configurations made in the back end for the form.

Performance Form Testing

When launching a form for testing, you must first verify that the correct Role-Based Permissions have been configured. Navigate to Manage Permission Roles using Action Search. Select the administrator role and choose Edit. Navigate to step 2. Add Permissions, and verify the following permissions are enabled:

  • User PermissionsGeneral User PermissionPermission to Create Forms. If the All radio button is not selected, you should verify that the template used to create forms for testing is selected from the dropdown list.
  • Administrator PermissionsManage Form TemplatesMass Create Form Instances (Launch forms now). This permission will allow users to mass create forms using the Launch forms tool.

Copy an Existing Template

Business Example

In this exercise, you will create a new form template based on one of your existing templates in your instance. It is best practice to copy an existing form template and not simply modify a template created for your instance.

Steps

  1. In Manage Templates, on the Performance Review tab, select the Performance Evaluation PMv12 template.

  2. Choose Save As.

  3. For the new name, enter [This Year] Calibration Review [Your Initials], for example, 2024 Calibration Review KEW.

  4. Enter a description.

  5. Change the route map to the one including the Calibration step that you created previously.

  6. Choose Save.
