Configuring Performance Form Sections for Calibration

Objective

After completing this lesson, you will be able to configure the different summary sections on a performance form that would be available as calibration elements.

Calibration Configuration Terminology

Performance Form Data Pulled into Calibration

Calibration allows a participant in a Calibration session (typically first and second level managers) to recalibrate performance by adjusting the performance form ratings of users. Calculated ratings on a performance form cannot be calibrated because they are system-generated ratings defining aggregate scores based on manager ratings or whichever role in the performance form is authorized to provide a rating of record. To be able to calibrate performance, manual ratings must be enabled wherever possible.

The sections that allow manual rating in addition to the system-generated calculated ratings include the Summary section, Objective/Competency Summary, the Performance Potential section, and, more recently, the Customized Weighted Rating section. This allows drag and drop functionality within a Calibration session that has the effect of adjusting manual ratings. Note that changes to manual ratings will not impact calculated ratings. Often both are used in performance forms, but only one can be the final rating of record.

The Summary Section

The Summary Section displays information about all the evaluation sections on the form in one central area. This section is sometimes called Overall Performance Summary or Assessment Summary. The amount of summarized information is determined by the content in the working sections of the form.

The sections that are configured to populate calculated (computer-generated) ratings into the summary section will be visible in the Weights area. You may then choose to assign weights to each section or weight the sections equally, making sure the total is 100%.

The Allow manual rating checkbox creates an additional rating field where the manager may manually override the system-generated calculated rating with their own rating. The rating scale will be the default scale that was connected to the form in the General Settings section.

What is the Objective/Competency Summary Section?

The Objective/Competency Summary section calculates two scores: one from the overall competency ratings, and one from the overall objective (goal) rating. These scores are then plotted to determine the quadrant where an employee falls on a 9-box. These two scores are completely independent of one another and, by default, are system-generated, or calculated. Calculated scores cannot be calibrated, but it is possible to override the calculated rating and allow the scores to be editable. Manual scores can then be calibrated based on the manager’s ratings.

To add an objective/competency summary section to the performance form, navigate to Manage Templates using Action Search and select your performance form template available in the Performance Review tab. Choose Add New Section and select the Objective/Competency summary. Expand the Advanced options of the section and select the following checkboxes to enable the calculated ratings, then override the ratings with a manual manager rating:

  • Calculate overall competency rating.
  • Allow overall competency rating to be edited.
  • Calculate overall objective rating.
  • Allow overall objective rating to be edited.

As an end user, a manager would rate the employee manually on objectives and competencies to map the employee on the 9-box grid. The matrix grid report layout can be configured with text, colors, and axes in Matrix Grid Reports: How vs. What option, available using Action Search.

Caution

There is a section called Performance Potential Summary that may be added to the performance form template from Manage Templates. Please take note of the the overall performance rating within this section becomes the rating of record if enabled setting, which is typically not desirable in a performance review.

Configure the 9-Box Matrix Grid

Business Example

In this exercise, you configure the 9-box matrix grid to make the objective/competency summary section more visually interesting.

Steps

  1. Navigate to Matrix Grid Reports: How vs. What using Action Search.

  2. Find the 9-box grid and personalize each placement with a background color (BG Color) and label text. It may be helpful to use a search engine to find hexadecimal color codes and other popular 9-box grids for inspiration on how to title each quadrant.

    Note

    Text color is set into #000000 hex color as default. You can leave it as-is.
  3. Choose Save.

Configure Manual Ratings on the Form

Business Example

In this exercise, you edit the form template you copied in a previous exercise.

Steps

  1. Navigate to Manage Templates using Action Search.

  2. Select the template you copied in a previous exercise.

  3. Open Edit Fields and Sections.

  4. Open the Summary section and select the Allow manual rating checkbox.

  5. Choose Add a New Section.

  6. Add the Objective Competency Summary section.

  7. Expand Show advanced options and verify the options are enabled:

    • Calculate overall competency rating
    • Allow overall competency rating to be edited
    • Calculate overall objective rating
    • Allow overall objective rating to be edited
    • Display the overall objective/competency matrix
  8. In the same area, deselect the Show overall objective / competency rating checkbox.

  9. Leave the Overall Rating Display Order as manual-calc and the Section Display Order as comp-obj.

  10. Place the section between the Summary and Signatures sections.

  11. Choose Save.

Summary
