Configuring Calibration Template Views

Objective

After completing this lesson, you will be able to configure Calibration Template Views.

Select Data Sources

Business Example

In this exercise, you select the elements to be calibrated.

Steps

  1. Navigate to Manage Calibration Templates using Action Search.

  2. Click into your calibration template created in a previous exercise.

  3. Choose the Data tab and select the Performance checkbox.

  4. From the dropdown list, select the [This Year] Calibration Review [Your Initials] performance template you have been editing.

  5. In the At which routing step can the data be used? dropdown list, select Calibration.

  6. You should now see three elements that can be included for calibration, including, Overall Objective Rating, Overall Competency Rating, and Overall Form Rating. Select each of these checkboxes

  7. On the Overall Form Rating, define the following mappings for the ratings: and define the distribution guideline ranges. This will create a bell curve to map user performance ratings to the curve.

    • Below 2 maps to 1 Unsatisfactory
    • 2 to < 3 maps to 2 Needs Improvement
    • 3 to < 4 maps to 3 Meets Expectations
    • 4 to < 5 maps to 4 Exceeds Expectations
    • 5 and beyond maps to 5 Outstanding
  8. For the same Overall Form Rating, set the following guidelines:

    • 1 Unsatisfactory = 5%
    • 2 Needs Improvement = 10%
    • 3 Meets Expectations is between 20 - 40%
    • 4 Exceeds Expectations >= 10%
    • 5 Outstanding <= 5%
  9. Choose Save to save all changes.

The Views Tab

Calibration provides different user interface views for users to visualize and interact with sessions: Dashboard, List View, Bin View, Matrix Grid View, and Executive Review.

Dashboard

The Dashboard View provides an aggregated view of data in a particular session. The Calibration dashboard is automatically created to summarize the current state of the calibration process. The bar charts in the Dashboard View show the distribution for each rating and whether or not the actual distributions match the guidelines.

Select the Enable Dashboard checkbox to display the dashboard view in all the sessions based on the same calibration template.

The distribution for each rating and if the actual distributions align with the guidelines or not is displayed.

List View

The List View enables users to see a quick tabular view of subjects in a calibration session and quickly select checkboxes to mark off items as already discussed, add comments, and access forms, development plans, or personal information.

In the List View, the following options are available:

  • Enable List View: To display this view.
  • Show Rating of Data Element in List View: If you want to see the listing of all ratings included in the session.
  • Show Grid Cell Label in List View: To show the label from the grid cell if you create a grid view.
  • Show Calculated Rating from Performance Management in List View: This option will show the calculated ratings from Performance Management within the list view columns in a calibration session.
  • Select user fields to display: You can choose the cell(s) to select standard and custom user fields to include in the list view (e.g., Department, Division, City, and Hire Date).

Bin and Matrix Grid Views

Finally, the calibration elements can be selected to display in a Bin View (if there is no Y-axis data), or Matrix Grid View (X-axis and Y-axis data). Here you can name the view and select options. There is an amazing amount of flexibility in the tool. If the database has the information, it can be displayed in the calibration session.

When creating Bin and Matrix Grid Views, available options include the following:

  • Show calculated rating in addition to manual ratings (only applicable to Bin view): Use when appropriate. This option is grayed out if there is no calculated performance rating in the Performance form.
  • Enable Drag and Drop: When enabled, the session facilitator can move a participant to a different category during the calibration session.
  • Enforce comments on rating change: If you want to enforce a comment when there is a change of rating in the calibration session.
  • Show an extra column for bin view: Select an additional column to show one of the other calibration elements. This option is only available for the bin view.
  • Select Language: Allows for labels in a local language in the calibration matrix grid and bin views.
  • View name: To provide a name for the view.

In the Matrix Grid View, you may also select the labels and the colors of each cell or use one of the pre-set colors available (3*3 matrix default or 5*5 matrix default), and make any additional changes on the background colors, add label texts, and inline notes. The matrix is displayed with options for labels and color in each cell. Labels are simply typed into a box. Colors may be typed in as a hexadecimal number or by choosing the icon to make a swatch panel open, allowing RGB, a hexadecimal number, or selection from a color wheel. Changes take place immediately.

Create Views

Business Example

In this exercise, you create the views to map performance data.

Steps

  1. Navigate to Manage Calibration Templates using Action Search.

  2. Click into the calibration template you worked with in a previous exercise.

  3. Choose the Views tab and, on the Dashboard tab, select the Enable dashboard checkbox.

  4. Choose the List View tab and select the following checkboxes:

    1. Enable List View
    2. Show Rating of Data Element in List View
    3. Show Grid Cell Label in List View
  5. In the Select user fields to display screen area, choose Department. This will add a user’s department to the listing of their performance information.

  6. Choose Add View and, in the (Select X axis) field, select Overall Form Rating. Name the view Overall Rating, and select the following checkboxes:

    1. Show calculated rating in addition to manual rating (only applicable to Bin view)
    2. Enable Drag and Drop
  7. Choose Save.

  8. Choose Add View and, in the (Select X axis) field, select Overall Objective Rating. In the (Select Y axis) field, select Overall Competency Rating. Name the view Objective / Competency, and select the Enable Drag and Drop checkbox.

  9. In the Pre-set colors field, select 3*3 Matrix Default.

  10. For all the fields in the matrix, fill in labels. Refer back to the matrix grid you configured from Matrix Grid Reports: How vs. What to keep the 9-box labels consistent with what you configured for the performance form.

  11. Choose Save.
