Creating Table Reports for Calibration

Objective

After completing this lesson, you will be able to create Table Reports for Calibration.

The Table Report

Table Reports, commonly known as Ad hoc reports, create data queries that can run online or be exported in Excel, PDF, and PowerPoint format. Administrators can grant access to the reporting tool with Role-Based Permissions and define the target population, or the data available for a user to report on.

Note

The following information will discuss the Table Reporting fields specific to the Calibration product. Please refer to the Table Reports section in the SAP SuccessFactors Platform: Reporting Administration (HR882) course for detailed information on how to permission, configure, and view data with these reports.

Data Sets

When a table report is initially created, the end user must select a Report Definition Type to dictate which product(s) will have data available for reporting.

Note

Not all types of reports allow a data set to be selected. Even though calibration requires a performance form for initial ratings, the calibration data in Table Reports focuses on ratings that happen within the calibration session, not on the form. To report and filter on fields within the performance form used for calibration, run a table report for the Report Definition Type of Performance Management and search for the template by name.

Columns

Selecting a data set allows you to narrow the information that will be available for the report even further. Form templates can differ significantly, depending on customizations made by an implementation consultant or Customer Success.

Once a template is selected, the fields of that template become available as Columns in the final output. Any data collected in the final output populates from the information entered in each field (that is, Subject First Name, Form Template Name, and Document ID).

Useful fields for Calibration include Subject Name (subject of the form), Facilitators, Owners, Participants, Old Value Label, and New Value Label. The old and new values allow a comparison of the original rating of record on the performance form versus the new, calibrated score.

Create a Table Report for Performance Management

Business Example

In this exercise, you create a table report to find calibrated ratings and session information.

Steps

  1. To access the Report Center, from the main navigation menu, select Reports.

  2. To start creating a report, choose New.

  3. For the report type, select Table.

  4. Choose Select.

  5. Select the Single Domain radio button.

  6. Expand the Select domain dropdown list and select Calibration.

  7. Choose Select.

  8. For the report name, enter CAL [Your Initials]

  9. Choose the People tab.

  10. Choose Refine Criteria.

  11. The Team Manager should be the Logged In User

  12. Select the Team View radio button.

  13. From the dropdown list, select All Levels.

  14. Choose OK.

  15. Select the Columns tab.

  16. Choose Select Columns.

  17. Select the following checkboxes: 

    • Subject First Name
    • Subject Last Name
    • Facilitators
    • Owners
    • Participants
    • Old Value Label
    • New Value Label
  18. Choose Done.

  19. Choose Preview. Did you return any data? 

    Note

    If you cannot see any data (which may be expected based on our selection in step 11. The Team Manager should be the logged in user), you can do either of the following:

    a. Navigate back to Report Center and, to share this report created with the owner or any of the participants you included in your Calibration Session (direct managers), choose Share.

    b. Proxy as the owner or participant (one of the subject’s direct managers) and access Report Center. The shared report should be visible, and you can run it to verify that it displays data.

    An alternative scenario is to change step 11. Back to your admin user, under People, change the Team Reporting Type to Other Filters. Save changes and try to generate a report to confirm it displays data.

  20. Once you are satisfied, choose Save. This report is a quick way to pull old and new performance ratings, along with members of the calibration session to understand a rating change.

  21. Choose Generate. You can decide whether to just run online or download to CSV, Excel, PDF, or PPT formats.
