Managing Calibration Settings

Objective

After completing this lesson, you will be able to configure calibration settings.

Calibration Settings

Calibration Settings allow you to set read and write permissions for facilitators, owners, participants, and co-facilitators both during the session and after the session has been approved. These settings also allow an administrator to modify which fields in the database are available in a search. Calibration Settings consist of four tabs, including:

  • Permissions
  • Manager Template
  • Search and Filter Fields
  • Global Settings

Permissions for Calibration Sessions

The Calibration Session Permissions default is for one person, the facilitator, to have permission to change the database. If there is a reason to provide Write permissions to other roles in the session, you can do it here.

Co-facilitators and participants can be restricted from accessing Approved sessions to prevent access to potentially sensitive information. In addition, it is possible to restrict access so that managers may only see their own employee data and may not have access to data for other employees. This feature is often required in countries where there are limitations on sharing employee data. This feature is configured when managing calibration templates.

Facilitators and co-facilitators can be granted permissions to reopen calibration sessions. After a session is reopened, all forms in the session will be routed back to the calibration step, and calibration participants can make additional changes. The session status changes from Approved to In Progress. Email notifications can be enabled to be sent directly to notify participants, facilitators, and owners that the session has been reopened.

The Permissions tab is displayed with checkboxes enabled where necessary.

Manager Template

The Manager Template tab allows you to select the calibration template that will be used as a touching point between Calibration and Team Overview.

The Manager Template tab is displayed in which a calibration template is chosen from a dropdown list and highlighted.

If the Launch Calibration from Team Overview of Performance Management is enabled in Manage Calibration SettingsGlobal Settings, groups of performance forms in Team Overview page based on the Calibration Template selected in this tab will display a Calibration button to navigate to the session. This option allows managers easier access from Team Overview to the Calibration Session related to those forms.

The Calibration button is highlighted in the Team Overview page.

Search and Filter Fields

The administrator can define which fields will return in the search results within the Manage Calibration Sessions tool. It is also possible to define which search fields are returned by default.

Additionally, the Filter Fields column allows administrators to define which filters are displayed across all calibration views, including Executive Review, for standard, custom, and trend elements (like the Overall ratings displayed in People Profile).

The Search and Filter Fields Tab is displayed in which the Field Name, Include Search Result Fields, Default Search Result Fields, and Filter Fields are displayed.

Global Settings

These settings may have already been configured during implementation by your consultant, but you may also manage global settings from Admin Center. These provisioning (back end) settings allow administrators to manage calibration without support from their implementation consultant. The global settings are defined in the list below.

  • Enable Enforce Comment Option in Views: Forces users to enter a comment when assigning new scores in all Calibration sessions.
  • Enable Manager Calibration Session: Allows managers to initiate Calibration sessions on their own. With this option, managers can create team-specific sessions that match their business cycle and organizational development needs. The manager would be the Facilitator of the session, and Participants and Subjects can be selected based on their hierarchy.
  • Show In-Progress Calibration Ratings in Live Profile: Select if you want to publish Calibration ratings as they are happening, and before finalization, in the Live Profile.
  • Enable Reverse Scale: Uses a reverse rating scale on all Calibration sessions.
  • Limit Employee to be included in only one calibration session at a time: Only allow an employee to be calibrated once for a given data source for the same data range.
  • Enable Calibration Executive Review: Option to roll up calibration activity across all sessions (regardless of status). Typically made available to HR and Business Executives.
  • Launch Calibration From Team Overview of Performance Management: Ability to launch and auto-create Calibration from the Team Overview page.
  • Remove "Too New to Rate" from rating options for the rating types from People Profile data: Select if you don’t use Too New To Rate as a rating option for the rating types from People Profile data in calibration sessions.
  • Enable Autosave: When enabled, changes made in a few calibration scenarios will be automatically saved after 30 seconds of inactivity.
  • Exclude Rating Sources from Employee Profile Data: Choose rating sources you want to exclude from Employee Profile data. Rating sources you select aren’t taken into account when the session is activated.
  • Enable Calibration Alert (Beta): Beta Only. SAP Fiori needs to be enabled for displaying and functioning of Alerts. Alerts may impact performance, so please test alerts in Preview before deploying in Production. Please also have a look at the prerequisites and limitations of the Alerts before deploying the feature.
  • Online Export All Threshold: The system default value for the Online Export All Threshold is 250. Change this value to increase the threshold. Recommended threshold maximum should not exceed 1,000, as system timeouts may occur during the Online Export processing. If the number of sessions exceeds this threshold, the export will be processed as an offline job with the exported file accessible from Scheduled Reports.
  • Online Mass Finalization Threshold: The system default for the Online Mass Finalization Threshold is 25. The limit can be increased or decreased, and the sessions will be mass finalized in bulk with an offline job when the number of sessions exceeds the threshold set.
  • Display extra field for subjects in Bin and Matrix View: In the Calibration Grid views, on the people cards, users can now see an additional identifying field per employee (subject) to help them differentiate among employees with similar information, in both bin and Matrix views. Admin users can configure the additional field by choosing from among 15 custom fields and 5 default standard fields.
  • Choose a user to replace a calibration session’s only facilitator who has been inactive: Choose an active user to replace a calibration session’s only facilitator who has been inactive when purging the inactive user.
  • Choose one or more users as default facilitators for a new manager calibration session: Default facilitators can be defined in this option to be included in Manager-Initiated Calibration sessions on the calibration landing page and the Team Overview page. Managers can still remove or add other facilitators when they initiate a session on their own.
The list of Global Settings is displayed.

Configure Calibration Settings

Business Example

In this exercise, you configure calibration settings.

Steps

  1. Navigate to Manage Calibration Settings using Action Search.

  2. On the Permissions tab, in the Approved session column, grant Read permission to the Participant.

  3. On the Manager Template tab, select the calibration template you have been working with in the previous exercises. 

  4. On the Search and Filter Fields tab , allow the following fields to be included in search results:

    • Name
    • Manager
    • Title
    • Username
    • Division
    • Department
    • Location
    • Job Code
  5. In the Default Search Result Fields column, make your own selection from the fields included to appear as default in the results table.

  6. In the Filter Fields column, select Division, Department, and Location.

  7. Choose Save.

  8. On the Global Settings tab, select the following checkboxes:

    • Enable Enforce Comment Option in Views
    • Enable Manager Calibration Session
    • Show In-Progress Calibration Ratings in Live Profile
  9. Add an extra field to the people card shown in 9-box view and select Job Code/Role.

  10. Choose one or more users as default facilitators for a new manager calibration session and add your admin user.

  11. Choose Save

How to Remove Subjects from Calibration Sessions

The permission Remove Subject from Calibration Sessions needs to be selected in Manage Permission Roles[Select Role]Edit2. Add PermissionAdministrator PermissionsManage Calibration.

The Remove Subject from Calibration Sessions permission is highlighted.

Navigate to Remove Subjects from Calibration Sessions using Action Search.

In the Remove Subjects from Calibration Sessions screen, a search can be performed in the subject field using the employee's name, including inactive users. Multiple names are supported, and the data can be filtered further by calibration template.

The system will return the sessions that include the employee(s) as the calibration subject(s). By selecting the sessions, the subject(s) can be removed from the calibration session.

The sessions aligned with the Subject and Template are selected and the Remove button is highlighted.
