Creating Manager Calibration Sessions

Objective

After completing this lesson, you will be able to create Manager Calibration Sessions.

Manager Calibration Sessions

Managers can create team-specific sessions that match their business cycle and organizational development needs, for their direct reports or lower levels of reports.

Prerequisites

  • The option Enable Manager Calibration Session should be enabled in Manage Calibration SettingsGlobal Settings.
  • Managers using the Manager Calibration Sessions function should have at least one level of direct reports.
  • Managers should have access to at least one calibration template. This access can be controlled from a permission available in Role-Based Permission. Navigate to User PermissionsCalibrationManager Template Permission for Creating Sessions to control which templates are available.

Managers can access Calibration menu from the Home page or from Team Overview, and see a Create New button next to the Export icon, where they can initiate a session on their own.

The following information can be filled for the session creation:

Template: Select a calibration template for the new session. Only those templates that the manager has access from RBP will display.

Session Name: Enter a name for the new session.

Session Facilitators: The manager creating the session will be the facilitator. Additionally, the default facilitators configured in Manage Calibration SettingsGlobal Settings will be displayed in the field in addition to the session creator. Managers can remove the facilitators and add others, if needed.

Session Participants: Select direct reports as session participants.

Session Subjects: Select levels of reports as session subjects.

Note

Some typical actions that an administrator will have in Manage Calibration Sessions, like routing forms into calibration step, or launching forms if some of the subjects have no form, will not be available for the manager since they won’t have access to the administrator tools.

In that case, to create a manager-initiated session successfully, all subjects to be included in the session should have a form launched, and forms should be in the Calibration step. An administrator can assist in completing this action.

Calibration Session Display Settings

Calibration sessions let you choose which attributes you want to display and the icons used to represent those attributes. This additional information can help tie together Performance Management, Succession, and other data points in concise views that can help participants with their calibration decisions.

The Dashboard tab along with a list of employee attributes is displayed.

While you work on the Calibration Session, to clear the selection of multiple subjects in all views, choose ActionsDeselect All from any of the available views.

The Deselect option in the Actions dropdown list is highlighted in the List View.

Calibration Session Filter Options

To help participants focus on particular subjects, a wide range of filters can be used. For example, participants may want to look at calibration sessions based on their status. Or they may wish to filter for calibration sessions based on the number of participants within a specific range.

The filter icon is highlighted in the Sessions section.

Calibration Session Talent Card Display

When used in conjunction with Succession, Calibration sessions can display Succession Nominations as well as Talent Pool Nominations and allow permissioned users the ability to create, edit, or delete those nominations. This provides a tighter integration between Succession and Calibration and makes Calibration Sessions even more useful. Talent cards can be displayed side-by-side to compare subjects in the session.

Calibration Session Analyze Display

The Action button allows participants to mark subjects as discussed (or unmark them as discussed) and to analyze subjects by comparing and changing their ratings as well as other talent flags (for example, risk of loss).

The Analyze pop-up window is displayed.

A maximum of 10 subjects can be selected at a time to Analyze. Stack Ranker in Calibration needs to be enabled.

Calibration Finalize Multiple Sessions Option

Large companies often run dozens or hundreds of Calibration Sessions simultaneously. Finalizing or ending these sessions individually can be a very time-intensive process. The option to mass finalize sessions can significantly improve this process. The recommended threshold is 25 sessions, but the number can be increased if needed from Manage Calibration SettingsGlobal Settings tab. If the number of sessions to finalize exceeds the threshold set, the mass finalization will run an offline job.

Pay Linked to Performance

The views of the calibration template are very flexible. They allow data to populate from any field on a form that is manually rated. This allows the ability to create custom manual rating fields for compensation or succession.

To calibrate pay x performance, move an employee into the appropriate 9-box quadrant and click into that user’s individual performance from.

Note

Creating manual rating fields beyond overall rating, objective rating, or competency rating requires custom back-end work with a consultant.

After linking to a user’s performance form, click into the compensation section of the form. This section of the form has been configured in the back-end by a consultant.

This will link to a user’s compensation worksheet where you can adjust merit and grant a pay increase.
