Explaining Time Off for HR Administrators

Objective

After completing this lesson, you will be able to explain the different features of the Time Off self-service available for HR Administrators.

Introduction to Time Off for HR Administrators

The HR administrator role initiates and facilitates many of the Time Management processes, including:

  • Obtain an overview of an employee’s time off requests and time accounts
  • Enter an absence request for an employee
  • Make a manual adjustment for a time account
  • Enter new hires into the system and set up Time Off for them
  • Run accrual creation
  • Manage period-end processing

The Time Admin Workbench is the central workplace for HR and time admins to manage the absences and attendances of the employees they’re responsible for.

The Time administrators can do their job tasks in four easy steps as outlined in the figure below.

Account Payout

Administrators can make financial payouts on time accounts. A payout occurs, for example, when an employee receives payment instead of taking leave or time off.

It also allows HR administrators to pay out employees' accrued and entitled leave (vacation/sick) balances when the employee leaves the company as part of termination settlement.

Holiday Buy/Sell Schemas

Sometimes, companies have holiday buy/sell schemas to allow employees to purchase or request a payout on time accounts.

Time Off supports both scenarios:

  • The Purchase Time feature allows employees to purchase time off that can be paid in a pro-rated deduction over a period of time to enable employees to achieve work/life balance without going on leave of absence.
  • The Pay Out Time feature allows employees to request cash for their unused leave balances against time accounts as an additional benefit in accordance with statutory requirements of the company country and policy.
