My Inbox App Access Enablement in SAP Fiori Launchpad

The SAP Fiori launchpad is the entry point to SAP Fiori apps. From a user perspective, it displays those SAP Fiori apps that have been assigned to the catalog designed for this user's role.

This presupposes that an administrator has made the necessary assignments in the launchpad designer to enable a user's access to the respective SAP Fiori apps in the SAP Fiori launchpad.

Setup of Catalogs, Groups, and Roles in the SAP Fiori Launchpad

SAP Fiori launchpad is the access point to apps on mobile or desktop devices. The apps are organized through the various entities and explained in the following text.

Technical catalogs (TC) still cut tiles and target mappings by solution area but no longer by technology. For legacy apps, there are now back-end catalogs (BEC) containing app descriptors. These are assignments of tiles and target mappings to transaction codes or Web Dynpro applications. Technical catalog roles (TCR) do no longer exist.

Business catalogs (BC) reference tiles and target mappings of technical catalogs (TC) and back-end catalogs (BEC) according to segregation of duty. Business catalog groups (BCG) now contain apps from various business catalogs (BC) merging a subtopic. Business roles (BR) replace business catalog roles (BCR) combining multiple business catalogs (BC) and business catalog groups (BCG) forming one topic.

The following are further explanations:

Catalog

A set of apps you want to make available for one role. Depending on the role and the catalog assigned to the role, the user can browse through the catalog, choose apps from this catalog, and add them to the entry page of the SAP Fiori launchpad.

Technically, apps are represented by the following:

  • Tiles to launch the app.

  • Target mappings referencing the actual navigation targets.

Group

A subset of the catalog that contains the apps visible on the SAP Fiori launchpad entry page. Which tiles are displayed on a user’s entry page depends on the group assigned to the user’s role. In addition, the user can personalize the entry page by adding or removing apps to predelivered groups or self-defined groups.

Roles (PFCG)

Contains references to catalogs and groups and provides users with access to the apps in these groups and catalogs.

The entities delivered by SAP are divided into technical entities and business entities:

  • Technical catalogs and back-end catalogs contain apps per component.

  • Business catalogs, business catalog groups, and business roles contain apps for a specific role.

In the section SAP Fiori apps of the app-specific documentation, you find the catalogs, groups, and roles which are required for each of the SAP Fiori apps.

Entities in the SAP Fiori Launchpad

The following are explanations about entities in the SAP Fiori launchpad:

Technical Catalog (TC)
Technical catalogs contain all target mappings and app launcher tiles relevant for an application, for example, SD or SAP SRM. As an administrator, you can use them as a repository to create your own role-specific business catalogs.
Business Catalog (BC)

Business catalogs contain a sample collection of target mappings and app launcher tiles relevant for a business role.

The content of the business catalog is a subset of the content of the technical catalog. This subset reflects the authorization requirements of a certain business user.

Business Catalog Group (BCG)

Business catalog groups contain a set of applications from a business catalog that are displayed to a user by default on the entry page of the SAP Fiori launchpad. Users can adjust groups by adding or removing apps.

Business Role (BR)

A business PFCG role contains references to business catalogs and business catalog groups. Once you—as an administrator—assign the business PFCG role to a user, the user sees the apps included in the business catalog group on the entry page of the SAP Fiori launchpad.

Through the business catalog referenced, users have access to further relevant role-specific apps. The user can select the apps from the catalog to make them available directly on the entry page.

The abbreviations in brackets behind the entities’ names are used as identifiers in the technical names of the actual object instances. For example, a Manager approval business role has the technical name SAP_FND_BC_MANAGER_T.

Use the technical catalogs delivered by SAP as repositories to create your own catalogs as an administrator. To display specific apps to a user by default in the entry page of the SAP Fiori launchpad, create a group. Then add apps from your catalog to the group.

Both the catalog and the group must be assigned to users. Do this by assigning groups and catalogs to users’ roles.

The business roles with the assigned catalogs and groups serve as examples based on which you can create your own business catalogs, groups, and roles.

Business Scenario

As workflow expert, you are required to use your Workflow-Launchpad in SAP S/4HANA. In this exercise, you will add further applications to that launchpad.

Note

In this exercise, when a value or an object name includes ##, replace ## with the number that your instructor assigned to you.

Task 1: Log On to the Front End System and Start the SAP Fiori Launchpad

Steps

  1. Go to your system (S4D), login via "single sign-on", and start the SAP Fiori launchpad.

    1. You can find the description of the required steps in Task 1 and Task 2 of the Add Three Tiles to the SAP Fiori Launchpad exercise.

Task 2: Add two Backend Applications to the SAP Fiori Launchpad

Steps

  1. Add the Backend Applications SWI1 and SBWP to your Workflow-Launchpad.

    1. On the SAP Fiori Launchpad, choose on the User icon.

    2. Choose Edit Home Page.

      Now you are able to assign new apps for your SAP Fiori launchpad.

    3. Choose the plus in My Home.

      The App Finder opens.

    4. In the header bar choose SAP Menu.

    5. Search in SAP Menu for SWI1.

    6. Pin it to your new group Workflow ##.

      Note

      Works only in English. For German, you need to log in in German and run report /UI2/EAM_BUILD_CACHE.

    7. Search for SBWP.

    8. Pin it to your new group Workflow ##.

Roles for SAP Fiori

Classic roles contain the menus that a user needs to work with the SAP GUI. Since SAP Fiori is not about functional applications, we need different authorizations. It is not about individual authorization objects, but rather about describing the "role" of the person in the company.

Role Maintenance

If you want to work with SAP Fiori apps, they can be found in tile groups or tile catalogs. In other words, if you want to allow the user to see a large tile in their SAP Fiori launchpad, the user needs permission to the group or catalog in which the app can be found.

The figure shows the entry screen for role maintenance. Here you can perform the required settings for roles of SAP Fiori tile catalogs and SAP Fiori tole groups.

Create a Role for an SAP Fiori App

Business Scenario

As workflow expert, you are required to use the new workflow in SAP S/4HANA. In this exercise, you will extend the required role so that the Manage Responsibilities Rules tile is found in your SAP Fiori launchpad.

Note

To perform this exercise, it is required that you have performed Task 1 and Task 2 of the exercise Add Three Tiles to the SAP Fiori Launchpad.

In this exercise, when a value or an object name includes ##, replace ## with the number that your instructor assigned to you.

Task 1: Find the Catalog

Steps

  1. Find the business catalog and note the name of it.

    Business catalog:__________________________________________________________________

    1. In the training system landscape, select StartGoogle Chrome.

      You find the tile in the Web Browser area.

    2. It might be necessary to confirm pop-ups. In the first pop-up, choose Next or Skip. If required, choose Google Chrome again.

    3. In the browser, go to: https://fioriappslibrary.hana.ondemand.com.

    4. Search for the Manage Responsibilities Rules app. To do so, click All Apps.

      A Search field opens.

    5. In the search field, enter Manage Responsibility. Start the search.

    6. Select the app.

    7. Choose the Responsibility Rules tile.

      The page opens.App Details

    8. On the right side of the screen, select the IMPLEMENTATION INFORMATION tab.

    9. Open Configuration.

    10. Make a note of the name of the Business Catalog that you find below the header Business Catalog into the line at the step above.

Task 2: Create a New Role

Steps

  1. Create a new role.

    Use the following data:

    1. If it is not already open, log on to your system (S4D).

      Note

      You can find the description of the required steps in Task 1 and Task 2 of the exercise Add Three Tiles to the SAP Fiori Launchpad.
    2. Start transaction PFCG.

    3. Enter Z_##_BR_MyTeams into the Role field. Choose Single Role.

    4. Choose Save.

    5. Choose the Menu tab.

    6. Next to the Transaction button, click the black triangle.

    7. Choose SAP Fiori Launchpad - Launchpad Catalog.

      A pop-up opens.

    8. In the Catalog ID field, enter the catalog ID, SAP_BASIS_BC_EXT_RSM, found for the Manage Responsibilities Rules app.

    9. On the pop-up, choose Continue (Enter).

    10. Save your role.

    11. Generate Authorization Profile

Task 3: Add the Tile to Your Launchpad

Steps

  1. Add the tile Manage Responsibility Rules to the SAP Fiori launchpad.

    1. Click on the User icon.

    2. Choose Edit Home Page.

      Now you can assign new apps for your SAP Fiori launchpad.

    3. Click the plus in My Home.

      The App Finder opens.

    4. On the left side, choose All.

    5. Choose the Manage Responsibility Rules app.

      In both applications, click on the pushpin.

    6. Choose Back and Save.

      Now you should see one more app on your start page.
